Description

Exciting opportunity for someone who has an interest in biometrics, digital identity or responsible technology evaluation looking for hands on experience in a great team.

We’re looking to build an ongoing relationship with someone who would enjoy being part of the Biometix and BixeLab team on a flexible, casual or part-time basis. The role would involve working with us as needed, with opportunities to increase hours during busier periods, typically in blocks of around one month.

This is an ideal opportunity for someone who values flexibility but would also like to develop an ongoing connection with a specialist, innovative business. You’ll have the opportunity to get to know our team, systems and projects, contribute when additional support is needed, and build your experience over time without necessarily committing to a full-time position.

This role provides administrative and participant-facing support for the recruitment, screening, scheduling and coordination of participants for our biometric and digital identity testing activities. You don’t need prior experience in any of these, we’ll teach you everything you need to know but to give you an idea of the role this is what you’ll be doing.

  • The role works under the supervision of the Recruitment Lead and follows approved project, sampling, consent, privacy, PII-handling and quality procedure
  • Supports the preparation of recruitment briefs, advertisements, screeners, participant instructions, FAQs and reminder communications using approved templates.
  • Screens and schedules participants against approved inclusion, exclusion and cohort requirements for in-person and remote activities.
  • Communicates clearly and respectfully with participants and approved recruitment partners.
  • Confirms that the current approved consent form has been completed before any participant data is collected or testing begins.
  • Maintains accurate recruitment trackers, schedules, runsheets and records covering consent, attendance, completion, resubmission and reimbursement status.
  • Supports the controlled assignment and use of our IDs/Crew Member IDs and ensures direct identifiers are not included in general working logs, datasets or filenames.
  • Monitors recruitment progress against project-specific participant and demographic targets and promptly reports shortfalls, no-shows, withdrawals and replacement requirements.
  • Supports participant check-in, approved briefings, attendance tracking, concurrent logging and checklist-based completeness checks during testing activities.
  • Immediately escalates consent concerns, participant complaints or withdrawals, suspected privacy or security incidents, safeguarding concerns, identifier discrepancies and technical questions outside the role’s authority.
  • Supports approved participant reimbursement processes and reconciles recruitment, consent, attendance, completion and payment records at project close-out.

About you

Maybe you are currently studying, or recently completed, a tertiary qualification in business administration, human resources, psychology, social science, research, public health, data management or a related field, or equivalent relevant experience.

You will have:

  • Strong attention to detail and accuracy when managing identifiers, schedules, consent records and participant information.
  • Clear and respectful written and verbal communication skills.
  • Strong organisational skills and the ability to manage concurrent tasks and deadlines under supervision.
  • Demonstrated discretion when handling confidential, personal or sensitive information.
  • Competence with Microsoft 365 applications, particularly Outlook, Teams, Excel, Microsoft Lists and SharePoint, or the ability to learn these systems quickly.
  • Ability to follow controlled procedures, recognise exceptions and escalate issues rather than independently changing approved processes.
  • Experience in participant recruitment, research administration, customer support or session coordination is desirable.
