Description

About the role

Do you love keeping projects organised, always know which drawing revision is current, and enjoy being the go-to person when something needs sorting? We’re looking for a Team Administrator to join our Design team and keep our projects running smoothly. This is a hybrid role, with a mix of working from home and our office in Fortitude Valley, QLD.

Reporting to our BIM Manager, you’ll provide administrative and technical support across the team. You’ll make sure projects are set up properly, drawings and records are accurate, and everyone has what they need to deliver great work. You’ll also be the link between Design and Estimating, giving you a view of how projects come together from both sides.

What you’ll be doing

  • Administering Autodesk Forma, including user access, project setup, folder structures and file standards
  • Setting up new projects across our design systems, and uploading, issuing and maintaining drawings and documents in Procore so the team always has the latest revisions
  • Keeping drawing registers, transmittals, revision records and project trackers accurate and up to date
  • Helping with QA checks on drawings before issue, and calculating material quantities from drawings and models to support the Estimating team
  • Following up outstanding actions, tracking deadlines, and flagging what’s coming up for the team
  • Coordinating meetings, including agendas, minutes and action items, and preparing project documents and reports
  • Providing day to day support to the BIM Manager and team, such as travel bookings, correspondence, purchase orders, invoices and expense claims
  • Helping onboard new team members, including setting up system access

What you’ll bring

  • Previous experience in an administrative or document control role
  • Experience managing drawing registers, revisions and transmittals
  • Ability to read and interpret technical drawings
  • Experience with Autodesk products (Forma or similar) and project management software (Procore or similar)
  • Strong Microsoft Office suite skills
  • Sharp eye for detail and a genuine care for accurate records

Desirable:

  • Experience in a design, drafting, construction or technical environment (highly regarded)
  • Experience calculating material quantities from drawings or supporting an estimating team
  • A Certificate III or IV in Business Administration, or a drafting related qualification
