Senior Groups Coordinator
North America & EMEA
At Aurora Expeditions, we create transformative travel experiences in some of the world’s most remote and inspiring destinations. We’re looking for an experienced Senior Groups Coordinator to manage the end-to-end group booking journey across North America and EMEA, ensuring exceptional service for our group partners and guests.
This role sits within our Outside Sales team and is ideal for someone who enjoys building relationships, coordinating complex bookings, and delivering seamless customer experiences.
What You’ll Be Doing
Group Booking & Administration
- Manage group agreements, bookings, inventory, and reservations.
- Coordinate group payments, invoicing, and reporting.
- Maintain accurate records, documentation, and group tracking tools.
- Monitor group performance and inventory utilisation.
Partner & Stakeholder Management
- Act as the primary point of contact for affinity groups and key partners.
- Coordinate sales, marketing, and operational requirements for group programs.
- Work closely with Reservations, Operations, Finance, Marketing, and shipboard teams to ensure successful delivery.
- Support pre-departure planning, guest hosts, special programs, and onboard arrangements.
Operational Support
- Respond to partner and guest enquiries.
- Assist with customer issue resolution and service recovery.
- Participate in partner presentations, briefings, and industry events as required.
- Promote Aurora’s sustainability initiatives throughout the customer journey.
About You
You’ll thrive in this role if you:
- Have experience managing group bookings, affinity travel programs, or charter business.
- Are highly organised and comfortable juggling multiple priorities.
- Build strong relationships and deliver exceptional customer service.
- Have excellent communication and stakeholder management skills.
- Enjoy solving problems and finding practical solutions.
- Are confident using Microsoft 365, CRM systems, and reservation platforms (Salesforce preferred).
Desirable Experience
- Affinity or group sales experience.
- Expedition cruise, adventure travel, or tourism experience.
- Tertiary qualifications in Business, Tourism, or a related discipline.
- Five or more years’ experience in a similar role.
