Description

Ark Energy is growing, and we are looking for an organised and proactive Business Support Coordinator to help coordinate our offices, business administration and shared executive support.

This is a broad and varied role for someone who enjoys keeping things organised, improving how work gets done and supporting people across a busy, growing organisation.

About the Role

Based in Brisbane, the Business Support Coordinator will coordinate day-to-day office operations, business and financial administration, corporate events and shared administrative support for the Chief Executive Officer, Chief Financial Officer and People, Performance & Culture function.

While primarily supporting the Brisbane office, you will also coordinate workplace and administrative requirements across Ark Energy’s other locations, helping provide a consistent, efficient and professional experience across the business.

Key Responsibilities

Your responsibilities will include:

  • Coordinating the day-to-day operation of Ark Energy’s offices and ensuring workplaces are organised, functional and appropriately resourced.
  • Managing office supplies, equipment, stationery, workplace consumables and office-related services.
  • Coordinating building access, security passes, visitors, meeting rooms and workplace inductions.
  • Liaising with landlords, building management, suppliers and service providers.
  • Coordinating office requirements across Brisbane, Sydney, Townsville and other Ark Energy locations.
  • Preparing and formatting reports, presentations, correspondence and other business documentation.
  • Maintaining corporate records, registers, filing systems and administrative databases.
  • Administering supplier accounts, recurring invoices, expense activities and relevant executive credit card reconciliations.
  • Supporting procurement and supplier coordination where required.
  • Coordinating calendars, meetings, appointments, travel, accommodation and visitor arrangements.
  • Preparing meeting agendas and materials, and monitoring agreed actions where required.
  • Providing administrative coordination for PPC activities, events and business initiatives.
  • Coordinating internal meetings, leadership forums, workshops, employee activities and corporate events.
  • Identifying opportunities to simplify and improve business administration processes across Ark Energy.

What You’ll Bring

You will be an organised and dependable administration professional who is comfortable managing multiple priorities and working with stakeholders across different areas of the business.

To help you succeed in this role, you will have:

  • At least five years’ experience in an administrative, business support or office coordination role.
  • Strong organisational and time-management skills.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and practical problem-solving capability.
  • Experience coordinating meetings, workplace activities or corporate events.
  • Confidence preparing professional reports, presentations and business correspondence.
  • Proficiency in Microsoft Word, Excel, PowerPoint and Outlook.
  • The ability to work autonomously while contributing positively as part of a broader team.
  • Sound judgement and the ability to manage confidential information professionally.
  • A qualification in business administration, management or a related field would be advantageous.
  • Ability to work in the Brisbane office 4 days per week
