- Proven experience managing claims, variations, delays, extensions of time (EOT), cash flow, budgets, and final accounts
Role Type
Description
Are you an experienced Contracts Administrator who’s as confident negotiating a variation as you are coaching a junior CA through their first EOT claim?
Do you want to move beyond running your own projects and help shape how a whole team delivers?
If that sounds like you, Amicus could be your next move.
About Amicus
Amicus is an award-winning workplace design and construction firm with offices in Sydney, Melbourne and Brisbane. We put our people’s well-being, growth and flexibility first, with hybrid work, activity-based workspaces, and tailored leadership development and training. We’re high-trust and results-oriented, and we look for people who share our commitment to learning, growing and contributing to our shared success.
About the Role
As Senior Contracts Administrator, you’ll take a lead commercial role on high-value, complex workplace fit out projects. You’ll own contracts, procurement and financial control from tender through to final account, and keep every project commercially sound, compliant and well documented along the way.
The role carries real leadership too. Reporting to the State Lead – Construction, you’ll lead, coach and develop the Contracts Administrators in your state, help plan CA resourcing across projects, and help build the standards and processes the team works by. You’ll be one of our most experienced commercial people, and others will look to you for guidance.
What you’ll be doing
- Administering and managing Australian Standard, D&C, lump sum and cost-plus contracts, including drafting and reviewing them to keep terms clear and risk managed
- Managing claims, variations, delays and extensions of time (EOT), and finalising project accounts at completion
- Overseeing all trade procurement, from tendering and subcontractor evaluation through to negotiation and selection
- Preparing and evaluating progress claims and subcontractor invoices, and forecasting cash flow and budgets weekly
- Supporting cost estimating, budget creation and ongoing cost control
- Ensuring compliance with BCA, NCC, WHS and our ISO 9001, 14001 and 45001 systems
- Attending site regularly to document defects, manage rectifications and keep standards high
- Running PCG agendas and minutes, weekly reporting, and clear stakeholder updates
- Driving project close-out, handover and final documentation
- Leading, coaching and onboarding your state’s Contracts Administrators, including regular monthly conversations
What you’ll bring
- A Certificate, Diploma or Degree in a relevant field
- Minimum 4 years’ experience as a Contracts Administrator, ideally in commercial fitout or workspace construction
- Strong working knowledge of Australian Standard contracts (AS4000, AS4901, AS4902, AS4903) and SBW contracts, including how they allocate legal and commercial risk
- Proven experience managing claims, variations, cash flow and final accounts
- Confidence reading architectural, engineering and services drawings
- Experience with project management, reporting and ERP systems, plus strong Excel skills
- Strong negotiation, dispute resolution and stakeholder communication skills
- Experience mentoring or leading others, or a clear readiness to take that step
- First Aid, CPR and White Card certification
What might not work for you
- This is a working leadership role. You’ll still run 1–3 projects of your own while coaching the team, so you need to be comfortable doing both
- We expect you to be on site regularly during construction (around once a week), so it isn’t fully desk-based
- Our reporting standards are high: weekly ACC reporting, a project health score above 85%, PCG agendas 24 hours before and minutes within 48 hours after. You’ll need to be reliable and follow through.
- If you’d rather focus only on your own projects and not develop other people, this probably isn’t the right fit
Why You’ll Love It Here
- 9-day fortnight (work smarter, enjoy more long weekends)
- Goals-driven, not hours-driven
- Genuine support for growth: leadership training, development programs, regular constructive (and kind) feedback
- Stability and career path – we’ve been investing in our team since 2005
- Supportive, positive managers and a collaborative team culture
