Position Overview

We are looking for a methodical and diligent Document Controller with a keen eye for detail to join our team.

You will be responsible for the accurate management, control, distribution and archiving of project documentation across the PMO portfolio, supporting projects delivered by AEC and the wider OCU ANZ Group.

Working closely with engineering, procurement, construction, commissioning and commercial teams, you will play a key role in maintaining effective information flow, document integrity and compliance throughout the project lifecycle.

You will engage with a broad range of internal and external stakeholders to ensure documentation is managed in accordance with PMO governance standards and project requirements.

Key Responsibilities:

Document Control Administration

  • Manage incoming and outgoing project documentation in accordance with PMO procedures
  • Maintain document control systems, registers and tracking logs
  • Ensure document numbering, metadata, version control and revision management are accurate
  • Issue and track document transmittals
  • Support document review, approval and distribution workflows
  • Maintain accurate document registers and retrieval systems

Engineering & Technical Documentation

  • Process engineering drawings, specifications and technical documentation
  • Support engineering, commercial and project teams with document management
  • Assist with commissioning records, O&M manuals and as-built documentation
  • Maintain contractual deliverable registers and subcontractor submissions

Quality & Compliance

  • Support internal and external quality audits
  • Ensure compliance with PMO document governance standards
  • Identify and escalate document control issues and delays

Key Skills, Experience and Qualifications:

  • 2–5+ years’ experience in document control within construction, infrastructure or renewables
  • Experience with technical documentation including drawings and specifications
  • Understanding of project environments and PMO governance
  • Experience with Aconex, SharePoint, TeamBinder or similar CDE platforms
  • Proficiency in Microsoft Office Suite
  • Strong attention to detail and accuracy
  • Excellent organisational and time management skills
  • Strong communication and stakeholder management skills
  • Eligible to work in Australia and/or New Zealand.
