We’re seeking a warm, proactive and customer-focused Administration Officer to join our friendly team at Lane Cove Gardens Retirement Village on a permanent part-time basis. About the Role

As our Village Administrator, you’ll play a vital role in the smooth day-to-day operations of Lane Cove Gardens and contribute to creating a safe, vibrant, and welcoming environment for our residents. You’ll build trusted relationships with residents, staff, and service providers, while managing a diverse range of administrative and hands-on support tasks.

Our roles are dynamic, flexible, and responsive to the needs of the village. That means we’re looking for someone who is not only highly organised and people-focused, but also adaptable—ready to jump in and assist with unexpected tasks that go beyond a typical admin role.

Key Responsibilities:

Coordinate resident activities, staff rosters, and village communications
Help plan and deliver village events, including setting up and serving tea, coffee, or light meals
Provide friendly, front-line support to residents and families
Conduct resident welfare checks, which may include entering units to ensure wellbeing
Occasionally assist during medical emergencies and attend First Aid training as required
Maintain accurate records in our CRM, including billing, banking, and resident details
Ensure compliance with relevant legislation (e.g. Retirement Villages Act, WHS)
Assist with the general upkeep of the village, including basic maintenance tasks and helping residents with emergency systems
Work closely with village staff, the HomeServe team, and Baldwin Living’s Head Office team

About You

We’re looking for someone who enjoys variety, values teamwork, and is passionate about making a meaningful difference in a community setting.

To succeed in this role, you’ll ideally have:

At least 2 years' experience in administration, customer service, or residential care
Relevant qualifications in business administration (desirable)
Strong computer skills – advanced MS Office and experience with CRM systems
A warm and positive attitude with the ability to engage with older adults and their families
Outstanding verbal and written communication skills
Experience in event planning or hospitality (highly regarded)
Strong problem solving, and organisational skills with the ability to manage competing priorities
Willingness to get involved in practical day-to-day tasks to support the smooth running of the village
