Office Manager & EA Support

JOB DESCRIPTION

Purpose:

This is a highly visible support role responsible for the smooth day-to-day running of the office, while providing high-quality Executive Assistant support (via the Chief of Staff) and structured operational support across core business functions including HR, Marketing, and Operations.

The role requires someone organised, proactive, and solutions-oriented, who takes pride in creating a well-run, high-performing, and engaging workplace environment. It is ideally suited to an individual who enjoys variety and ownership, and who is motivated by playing a key role in enabling the day-to-day effectiveness of the business.

Role Overview:

  • This is a hands-on, varied role combining office management, executive support and broader operational involvement. It will require being in the office 5 days per week.
  • Office & Facilities Management (c.50%)
  • Executive Assistant Support (c. 25%)
  • Cross-Functional / Operational Support (c. 25%)

Core Responsibilities:

Office & Facilities Management (Primary Focus)

  • Take ownership of creating a positive, organised, and high-quality rking environment, aligned to Maven’s values.
  • Act as the first point of contact for the office, ensuring a professional, welcoming, and well-functioning environment
  • Oversee and continuously improve day-to-day office operations including facilities, supplies, plant care and general upkeep
  • Manage office access (key fobs, passes, visitor logs) and ensure security protocols are followed
  • Coordinate maintenance, repairs, and relationships with building management and suppliers
  • Manage office budgets relating to supplies, maintenance, and services
  • Ensure health and safety compliance, including training (e.g. fire marshals, first aiders)
  • Maintain office systems such as attendance tracking and shared spaces

Executive Assistant Support (via Chief of Staff)

  • Provide diary and inbox management for selected SLT members, including scheduling across time zones.
  • Reconcile monthly expenses, credit card spends, and receipts accurately and promptly.
  • Prepare and format reports, meeting papers, and presentation decks to a professional standard.
  • Draft and proof correspondence, work with CoS on internal announcements, and executive-level communications
  • Assist with travel arrangements and itineraries
  • Build strong relationships with internal stakeholders and the global Executive Assistants to ensure seamless coordination

Cross-Functional & Operational Support

  • Provide direct support to the COO on both day-to-day operations and project-based work.
  • Provide structured support across core business functions including HR & People, Marketing and Events (e.g. onboarding coordination, internal communications, event and team activity logistics)
  • Assist with general operational processes, coordination, and administrative tasks across the business
  • Proactively identify opportunities to improve processes, systems, and the overall running of the office
