About Care Managers

As our organisation grows, we are looking for an organised, dependable and improvement-focused Admin and Compliance Executive to strengthen our administrative systems, workforce compliance and quality-assurance processes.
Previous experience in social care is welcome but not essential. We are particularly interested in transferable administrative and compliance skills, sound judgement, attention to detail and a genuine willingness to learn about the care sector. A structured induction and ongoing support will be provided.
The role
The Admin and Compliance Executive will provide administrative and compliance support across Care Managers’ Supported Living and Domiciliary Care operations.
You will help ensure that records are accurate, actions are followed through and important recruitment, training, policy and quality-assurance requirements are monitored effectively. You will work closely with managers and frontline teams while handling confidential and sensitive information professionally.
This is primarily an administrative and compliance position and does not routinely involve providing personal care.
Key responsibilities
Administration
- Provide professional day-to-day administrative support to the management team.
- Maintain organised electronic and, where applicable, paper records.
- Prepare correspondence, reports, spreadsheets, meeting agendas and minutes.
- Maintain management action logs and follow up outstanding actions.
- Support the coordination of meetings, appointments, training and internal reviews.
- Respond professionally to telephone calls and emails, escalating operational or care-related matters appropriately.
- Support document control, including policy-review dates, version numbers and distribution records.
Recruitment and workforce compliance
- Support safer recruitment and staff-onboarding processes.
- Maintain accurate employee files and compliance checklists.
- Monitor references, right-to-work documentation, DBS information and other required recruitment records.
- Maintain training, supervision, appraisal and competency trackers.
- Identify missing or expiring documents and escalate them before they become overdue.
- Support the preparation of new-starter induction packs and training records.
- Maintain confidentiality when handling employee and service-user information.
Quality and regulatory compliance
- Support internal audits and scheduled quality-assurance checks.
- Maintain audit schedules, evidence folders and improvement-action plans.
- Help managers organise evidence demonstrating compliance with company policies, contractual requirements and applicable CQC regulations.
- Maintain administrative logs for incidents, complaints, compliments and safeguarding concerns, ensuring these are passed immediately to the appropriate manager.
- Support policy reviews and communicate approved updates to relevant staff.
- Assist with the preparation of reports and information requested by commissioners, local authorities or regulatory bodies.
- Produce accurate compliance summaries and highlight gaps, risks or overdue actions to management.
- Support service mobilisation and other improvement projects as required.
What we are looking for
Essential
- Strong administrative, organisational and time-management skills.
- Excellent attention to detail and commitment to accurate record-keeping.
- Confidence using Microsoft Office or similar systems, particularly Word, Excel, Outlook and shared electronic files.
- Ability to manage competing priorities and follow tasks through to completion.
- Clear and professional written and verbal communication.
- Ability to handle confidential and sensitive information appropriately.
- Willingness to learn about Supported Living, Domiciliary Care, safeguarding and CQC requirements.
- Good judgement and the confidence to raise concerns or ask for guidance.
- A dependable, respectful and person-centred approach.
- Ability to work independently while remaining accountable to management.
Desirable
- Experience in administration, compliance, quality assurance, HR, healthcare, housing, education or another regulated environment.
- Experience maintaining staff files, compliance trackers or audit records.
- Familiarity with recruitment, onboarding or training coordination.
- Experience supporting projects or process improvements.
- Knowledge of adult social care or CQC requirements.
Direct experience in Supported Living or Domiciliary Care is not required. Candidates must, however, be willing to complete the organisation’s induction programme and develop a strong understanding of how administrative decisions can affect the safety and wellbeing of the people we support.
