Job Description – Plant Services Coordinator

Reporting to: Operations Manager

Role Purpose:

We’re looking for a proactive and organised Plant Services Coordinator to support the continued growth of our indoor and outdoor plant installations and maintenance services.

This is a hands-on, varied role ideal for someone who loves plants, people, and bringing green spaces to life. You’ll be the key point of contact for both new plant installation enquiries and existing maintenance clients, helping to deliver exceptional service from first enquiry through to ongoing support.

The role blends sales administration, project coordination, and client communication, so we’re looking for someone highly organised with a warm, professional approach and a passion for plants.

Responsibilities:

• Monitor and respond to incoming enquiries for plant installations and maintenance services

• Liaise with potential clients to understand their space, style preferences, and budget

• Collaborate with Directors and the Operations Manager to prepare detailed, costed proposals

• Update and amend proposals based on client feedback

• Take full ownership of the end-to-end project management of plant installation jobs, from client briefing and proposal stage through to procurement, scheduling, installation, and follow-up

• Coordinate the procurement of plants, pots, and accessories for installations

• Schedule installation days and allocate team members

• Ensure invoices are raised promptly following installation

• Provide post-installation care advice to clients

• Act as the main liaison between clients and plant maintenance technicians

• Monitor that maintenance visits are completed in line with agreed schedules

• Coordinate any necessary plant replacements, gain client approval, and ensure follow-up invoicing

• Provide weekly reporting to Directors and Operations Manager on project status and job progress

• Collaborate closely with the Marketing, Operations, and Director teams to promote our plant services, actively contributing to business development efforts and helping drive new client enquiries

• Work alongside the Marketing team to creatively showcase our plant services, supporting business growth through proactive outreach and lead generation initiatives
