Job Description – Operations & Projects Coordinator

Reporting to: Operations Manager

Role Purpose:

We are looking for a proactive, hands-on Operations & Projects Coordinator to join The Nunhead Gardener team.

This full-time role is essential to the day-to-day running and future growth of our business. With a strong focus on recruitment, planting installation projects, and operational support, this is a varied position that would suit someone who thrives in a fast-paced, people-focused environment. You’ll work across all areas of the business—from staffing and customer service to project delivery and administration.

For the right candidate, there is the opportunity to grow into a senior operations or project management role within 12–18 months.

Responsibilities:

Recruitment & Onboarding:

• Write and post job adverts across platforms (Indeed, Employment Hero, company website)

• Manage applications, screen candidates, arrange interviews and trial shifts

• Coordinate feedback and communications with candidates

• Oversee onboarding, system setup, and integration into the team

• Maintain recruitment records and support wider hiring initiatives

Project Coordination:

• Plan, coordinate, and schedule planting installation and maintenance projects

• Act as the main liaison between clients, site teams, and operations

• Prepare materials and organise logistics for upcoming projects

• Monitor project budgets, timelines, and client expectations

• Provide post-installation support and maintenance scheduling

Operations Support:

• Assist in the smooth running of the Head Office and store network

• Maintain and update operational systems and staff training records

• Coordinate annual fire and health & safety inspections

• Manage the health & safety tracker and compliance reporting

• Support operational audits, reports, and improvement projects

• Provide ad hoc support to directors and management as needed

Customer Service:

• Respond promptly to customer queries, complaints, and feedback

• Liaise with suppliers to fulfil customer requests

• Report recurring issues and customer trends to senior management

Retail Support:

• Complete regular in-store shifts to remain up-to-date with processes

• Support stores during busy periods, holidays, and seasonal peaks

• Conduct stock takes and assist with stock management

• Manage staff uniform distribution and returns

• Ensure accurate record keeping for uniforms and stock items

About you:

• Strong written and verbal communication skills

• Highly organised, proactive, and detail-oriented

• Comfortable working independently and managing multiple priorities

• Thrives in a fast-paced, customer-facing environment

• Process-driven with excellent time management skills

• Highly computer literate and able to quickly learn new systems

• Flexible approach to working hours (occasional out-of-hours work may be required)

• Positive, collaborative team player who is passionate about supporting business growth
