Due to continued growth and internal promotion, an exciting opportunity has opened for an Associate Owners Corporation Manager to join the team, based in our Eastern Suburbs office in Clayton.

Position
The role involves a strong focus on delivering continued exceptional relationship management of existing Owners Corporation clients by attending to the day to day administrative requirements whilst assisting a veteran Owners Corporation Manager in the higher management of the portfolio.
In short, the role is to be a highly skilled resource and right hand to your Owners Corporation Manager, working closely together as a team.
High service and client retention is optimised through limiting the size of the portfolio which consists of 7 key high-rise buildings located in the City.
Day to day responsibilities will include but are not limited to:
Provide support to the manager in a range of functions associated with Strata Management, in accordance with Owners Corporations’ instructions and relevant legislation
Liaise with Committee Members, Owners and Contractors
Receive incoming calls and respond to email queries
Under supervision from the manager, arrange maintenance and repairs including obtaining quotations and tendering services
Collect and process property information and reports as required and ensure all correspondence and records are filed
Assist with obtaining Insurance quotations and process lodgement of claims via brokers
Prepare documentation for Annual General and Committee Meetings on behalf of manager including preparation and review of financial reports
Attend Annual General and Committee Meetings during and after office hours to take minutes
Assist with Essential Services and OH&S compliance for the portfolio
Perform some basic accounts functions
Perform some basic debt collection functions
Database management of electronic filing including all correspondence, quotations and records
Provide executive assistant support for the Manager
Attributes
This role will be ideal for current Owners Corporation Assistants/Associates, Executive Assistants or high-level administrators.
Key attributes for the role are:
Experience working in the Strata or Real Estate Industry preferred but not essential
Superior attention to detail and pride in end product of work delivered
Exceptional administrative, time management and self-organization skills
A passion for building and maintaining relationships with key stakeholders
Provide great customer service and have a professional presentation
Have excellent grammar and professional verbal and written communication skills
Excellent initiative and problem-solving skills
Advanced Computer skills including Microsoft Office Word, Outlook and Excel
A current and clear drivers licence and own vehicle preferred but not essential
Take pride in presenting a professional corporate appearance
Basic accounting knowledge to understand financial reports
Enthusiastic and self-motivated with the ability to learn
