We are looking for a Payroll & Administration Officer to join our Finance Team in our Mulgrave office in Melbourne. In this critical role, managing the fortnightly pay runs for a national company across multiple projects, ensuring employees are paid accurately and on time. This position involves overseeing payroll compliance with state and federal regulations, processing superannuation contributions, lodging payroll taxes across multiple states, and ensuring meticulous attention to detail in all payroll-related tasks. Reporting directly to the Financial Controller, this role will also support end-of-month reporting activities, broader finance-related responsibilities, and ensure all payroll-related checks are completed accurately and on time. High proficiency in using Employment Hero is essential, as it is the primary application for payroll management.
What You’ll Do
Payroll Management:
- Execute fortnightly payroll processes efficiently and accurately for all employees nationwide using Employment Hero.
- Ensure compliance with award agreements, enterprise agreements, and individual contracts when processing payroll.
- Perform payroll system updates, including salary adjustments, new hires, terminations, and changes in employment details.
- Address payroll inquiries from employees in a professional and timely manner.
- Work with our Operations Teams across Australia to ensure accuracy with Rostering and Timesheet data
- Calculate and process superannuation payments for all employees in accordance with legislative requirements and top relevant funds.
- Calculate and lodge & reconcile payroll taxes for all applicable states.
- Maintain a comprehensive understanding of each state’s payroll tax regulations and keep updated on legislative changes.
- Assist with the interpretation of awards, agreements, and contracts to ensure proper application during payroll processing.
Reporting and Documentation:
- Generate payroll reports for internal use, including payment summaries, leave balances, and taxation details.
- Prepare reports for external bodies, such as the Australian Taxation Office (ATO) and state revenue offices.
- Support end-of-month (EOM) reporting by providing accurate payroll data and ensuring all related checks are completed.
- Maintain accurate and organized payroll records and documentation for audits and compliance reviews.
Finance-Related Reporting:
- Collaborate with the Financial Controller to support project and cost centre reporting and EOM processes
- Assist with workers’ compensation claims, reporting, and renewals as required.
- Contribute to other finance-related tasks and reporting processes as directed by the Financial Controller. This will include cost centre reporting for GMs
- Ensure the payroll system (Employment Hero) is optimized for the company’s needs including project and cost centre reporting, team re-deployments.
Communication and Support:
- Provide support and training to line Managers & Supervisors regarding Employment Hero and payroll processes.
- Communicate clearly and proactively with employees about payroll-related matters, including payslips, leave balances, and deductions.
- Handle sensitive payroll concerns with discretion and professionalism.
What You’ll Bring
- Highly proficient in Employment Hero as the primary payroll system used by the company.
- Strong understanding of payroll-related legislation, including superannuation laws, taxation, and employment standards.
- Demonstrated knowledge of finance-related reporting, including project and cost centre reporting, timesheets, and rostering.
- Demonstrated ability to identify and correct payroll errors to ensure accuracy.
- Commitment to maintaining meticulous records and producing error-free reports.
- Ability to prioritize tasks and adhere to strict payroll and reporting deadlines.
- Capacity to manage multiple responsibilities without compromising quality or timeliness.
- Ability to explain payroll processes and compliance requirements to non-experts.
- Strong interpersonal skills to work effectively with colleagues across different departments.
- Proactive approach to resolving payroll discrepancies and issues.
- Ability to handle sensitive data in accordance with company policies and privacy laws.
- Experience with Xero advantageous but not essential.
