We’re seeking a Groups and Charters Coordinator who thrives on organisation, collaboration, and customer service . In this role, you’ll provide administrative and operational support to our Global Groups and Charters Manager, helping to ensure the smooth coordination of group and charter voyages right up to post-trip wrap-up.

What You’ll Do:

  • Support group and charter bookings by managing enquiries, coordinating with internal departments, and maintaining accurate records in our reservation system.
  • Assist with contracts, documentation, and booking milestones such as deposits and payment schedules.
  • Collaborate with stakeholders across Product, Expedition, Operations, Sales, and Finance teams to align on passenger needs and operational delivery.
  • Be the go-to person for coordinating FOC (Free of Charge) bookings – including staff travel and media partners – ensuring they align with policy, capacity, and logistics.
  • Maintain and reconcile FOC records and act as a point of contact for internal and external stakeholders.
  • Champion Aurora’s commitment to sustainable travel by integrating eco-conscious practices into booking processes and communications.

About You:

  • Prior experience in a travel, reservations, or group operations support role preferred.
  • Strong administrative and organisational skills with excellent attention to detail.
  • Proven ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Familiarity with travel reservation systems and CRM tools (e.g., Salesforce, GDS) is highly desirable.
  • Basic knowledge of international destinations; experience with South American and/or European markets is a plus.
  • Tertiary education in Tourism, Business, or a related field is desirable.
  • Excellent written and verbal communication skills, and a customer-focused approach to building relationships.
  • Comfortable working with sensitive data, managing multiple timelines, and liaising across time zones
  • A passion for sustainability and a desire to contribute to meaningful, low-impact travel.
