About the role
The System Manager – Patient Administration is a pivotal role responsible for the administration, optimisation, and ongoing enhancement of Gidget Foundation Australia’s health service delivery management system, CareRight. This position will act as the system’s primary owner, ensuring its alignment with operational needs and strategic priorities across service delivery.
Sitting independently of direct service delivery, the role works closely with the Service Delivery Director to ensure the system supports efficient workflows, data integrity, integration with other organisational systems and a high-quality user experience.
Key Accountabilities
• Provide day to day support for the delivery of changes, updates and improvements in functionality requested by the Programs and Client Services teams, including updates to forms and assessments and auto communication.
• Serve as the CareRight system owner and superuser, maintaining oversight of functionality, updates, and user experience.
• Work collaboratively across teams to optimise CareRight’s integration with other systems and platforms.
• Actively contribute to Phase 2 of the CareRight Optimisation Project and/or other improvements/enhancements of the system.
• Translate business needs into clear technical specifications and oversee vendor deliverables.
• Manage system backups, performance monitoring, and data security protocols.
• Provide onboarding and ongoing training for staff and clinicians.
Selection Criteria
Essential
• Demonstrated experience as a systems administrator or systems lead, ideally within the health, community, or non-for-profit sector.
• Proven ability to gather and translate business requirements into technical specifications.
• Experience managing digital platforms or health service delivery systems (CareRight and Monday.com, or similar).
• Strong troubleshooting and problem-solving skills.
• Excellent communication and documentation skills.
• Experience in UAT, regression testing, and supporting change implementation.
• Ability to manage external vendor relationships and deliver system improvements aligned with operational needs.
Desirable
• Familiarity with CareRight or equivalent client management systems.
• Experience in mental health or perinatal care service environments.
• Knowledge of Power BI or similar analytics/reporting tools.
• Understanding of Agile methodologies or project delivery frameworks.
• Ability to travel to the Sydney office as needed.

Terms of Employment
This position is full-time and will initially be contracted till June 2026, aligned to Grant Funding, with the possibility of extension. This position can be based at our head office in North Sydney, with some opportunity to work flexibly, subject to organisational needs.
