Description

Bid Administrator

Permanent, full-time. WFH 2 days a week

The Role

We are looking for an organised, confident Bid Administrator to take ownership of pre-tender activity across Workplace Futures Group. You will prepare PQQ responses, credentials and supporting documents for projects of every size, and keep our bid library accurate and up to date.

Our bid team works across the whole group, covering every brand – including Modus, Ambit and Two – each with its own way of presenting itself. That means no two days are the same: you will work with Project Directors and their teams across the business to gather the answers we need to get onto tender lists, from general company information to programme and cost questions plus learning new skills, such as developing graphic design capability alongside our in-house graphics team.

Key Responsibilities

  • Manage pre-tender activity, including PQQ and pre-qualification responses, credentials and supporting documents.
  • Maintain the bid library, making sure all content is current, accurate and easy to find.
  • Work with Project Directors, their teams and colleagues across the group to collect information and answers for each submission.
  • Follow up with contributors at all levels to make sure input arrives on time.
  • Use AI tools
  • Proofread every submission carefully, spotting errors and inconsistencies before anything goes out.
  • Support the graphic presentation of bids, working with our in-house graphics team using Adobe and Figma.
  • Work in partnership with your Bid Administrator colleague, sharing the workload and covering for each other.

About You

Essential

  • Experience in any sector of construction.
  • Experience working in a corporate environment.
  • Highly organised, diligent and with strong attention to detail.
  • Excellent written English, with a sharp eye for errors and mistakes.
  • A confident communicator who is comfortable approaching and following up with senior colleagues.
  • Use of initiative and a “how can I solve this myself?” approach – you will be supported, but with real autonomy.

Desirable

  • Previous bid, tender or pre-construction administration experience.
  • An interest in design and visual presentation (full training given).

Why Join Us

  • Group-wide exposure: work with every brand and many different people across the business.
  • Varied work: no two days are the same.
  • You’re working on varied projects and sizes so the work is always different
  • Innovation: be part of a team actively changing how we win work, including through AI.
  • Learn new skills: develop graphic design capability alongside our in-house graphics team.

Team

You will work alongside another Bid Administrator within the bid team. You will agree between you how best to split the workload and support each other day to day
