Behind every well-run care service is a team keeping things organised, accurate and moving forward. At Inspiring Support, we’re looking for a proactive and reliable Finance Office Administrator to join our busy Finance and Contracts Team.

Your role

You’ll help keep our finance functions running smoothly, supporting purchasing, billing, financial records, stock control and general office administration.

Working alongside a supportive team, you’ll maintain systems, keep records accurate and ensure processes are followed efficiently. This is an excellent opportunity for someone with strong administrative and numerical skills who enjoys a fast-paced environment and producing accurate, high-quality work.

What you’ll be doing

Purchasing, suppliers and stock

  • Support the full purchase process, including raising purchase orders and processing invoices.
  • Order goods and services, ensuring value for money and timely delivery.
  • Liaise with contractors and suppliers to obtain quotes, track orders and resolve queries.
  • Compare quotes to support cost-effective purchasing decisions.
  • Monitor and manage stock levels across the organisation, maintaining adequate supplies and accurate records.

Financial administration and records

  • Assist with billing, ensuring invoices are accurate and issued promptly.
  • Maintain organised financial filing systems, both digital and paper-based.
  • Keep finance systems updated in line with organisational procedures.
  • Assist with reconciliations and other financial administration as required.
  • Support the accurate counting, recording and banking of monies received, maintaining clear audit trails and complying with financial controls.
  • Complete all work in line with internal controls, policies and audit requirements.

Systems and office support

  • Manage our telecommunications and IT systems and processes.
  • Assist with maintenance requests and requisitions across the organisation, ensuring issues are reported, monitored and resolved promptly.

What you’ll bring

Essential

  • At least one year’s experience in a finance or administrative role.
  • Strong IT skills, including Microsoft Office, with particular proficiency in Excel spreadsheets and formulas.
  • Strong administrative skills, organisation and time management.
  • Good numerical ability and confidence working with financial data.
  • A high level of attention to detail and accuracy.
  • The ability to manage multiple tasks and meet deadlines.
  • Excellent written and verbal communication skills.

Desirable

  • Experience using finance systems or accounting software.
  • Knowledge of purchasing and procurement processes.
  • Experience in stock control or inventory management.
  • Experience working with external suppliers or contractors.

Working hours

Monday to Friday, 8.00am–5.00pm 37.5 contracted hours per week, with additional hours as required.
