Employment Hero is an AI-powered employment solutions platform!
This AI Services Statement (the Statement) outlines the use of artificial intelligence (AI) across the Employment Hero Platform, including the Employment Hero Work app (EH Work app), Employment Hero Jobs app (EH Jobs app), Employment Hero websites, and any additional products and services (collectively, the EH Platform).
This Statement provides transparency on our suite of AI products and services listed in the table in the ‘Our AI Services’ section below (AI Services), including how they operate, the data handling practices involved, and the technology partners who support the delivery of the AI Services.
Our AI Services
The AI Services are powered by Hero AI, our in-house AI technology. It is the underlying engine that powers the AI features described in this Statement, designed and maintained by us to deliver a consistent, secure, and trusted AI experience across the EH Platform.
Our core AI Services are set out in the table below.

| AI Insights | An AI-powered feature that surfaces factual workforce insights to managers, including leave balances, leave history, and team leave data. AI Insights surfaces objective, verifiable data and does not generate inferences about employee health, wellbeing, or personal characteristics. This feature is off by default. Organisation admins can enable it in settings. Employers are responsible for notifying their employees about the use of this feature, including by updating their own privacy communications where required under applicable law. |
| HR Agent | An AI-powered assistant that answers questions relating to your organisation’s HR policies, employment information, and platform features, and can also help you get things done directly within the platform, like submitting leave requests. HR Agent draws on your organisation account information, company policies, and our help centre knowledge base to provide relevant and contextual responses. HR Agent acts on your explicit instructions. You remain responsible for reviewing its outputs and for the accuracy of any instructions you provide. |
| AI Recruitment Agent | The AI Recruitment Agent assists businesses with candidate screening as part of the hiring process. It analyses the provided job description to generate role-relevant screening questions; recruiters also retain the ability to manually input or edit their own custom questions. Following the recruiter’s selection of candidates, the AI Recruitment Agent facilitates the first round of interviews by reaching out to candidates and providing a link to the interview platform. The Agent reviews written, audio, and video responses to produce an evaluation of a candidate’s suitability to support the recruiter’s shortlisting decisions. This includes automated scoring and a summary of the candidate’s strengths and weaknesses relative to the criteria and questions set by the recruiter. The AI Recruitment Agent is a decision-support tool. It informs recruiter decisions but does not make hiring decisions autonomously. Recruiters retain full control and oversight at all stages and may review and override all AI outputs. Both candidates and recruiters are notified in-platform when AI is used in the screening and assessment process. Candidates may request human review of AI assessment outcomes. |
| AI Wand Enhancements | Intelligent content editing and rewriting feature that operates only on your command. The data that is processed through this service is only the data you actively input if you voluntarily decide to use it. |
| AI-Powered Implementation | Our customers start their journey using the EH Platform through our Implementation services. These services are powered by AI to ensure efficient and effective onboarding of new customers. To carry out the implementation of the EH Platform, customers need to provide us with business and employee details, including Personal Data of employees (like name, DOB, address, payroll data and other employment information). This information is crucial for the setup and configuration of the EH Platform to provide the contracted services to each customer. We use AI to organise the provided data into the format required for effective and efficient implementation. This process also includes verifying and validating the information to reduce errors and improve the quality of the implementation process. Our implementation services use AI-assisted tooling, including agentic workflows that can process and organise your data automatically. An Employment Hero Implementation Consultant maintains oversight throughout the process and validates outputs before they are acted upon. Personal Data processed through external AI tooling during implementation is deleted from those systems upon completion of your onboarding. This means that we implement the EH Platform for your business at a fast pace and at a lower cost to you. |
| AI features in Employment Hero Jobs | EH Jobs is a job board in which candidates can create a profile and seek jobs. AI-powered features within EH Jobs include matching capabilities, profile summaries, AI Assistant, CV parsing, and AI Wand Enhancements. Inclusions of the AI Services
The EH Platform incorporates AI Services that you may voluntarily use, which are designed to offer you the best experience possible when using the EH Platform. There are some AI Services that are core inclusions in our provision of the EH Platform, like AI-Powered Implementation for business customers, which is necessary for effectively onboarding you as a customer and giving you a seamless experience.
Our AI Services are embedded as core features or services of the EH Platform, and you may not be able to opt out of its inclusion. There are some AI Services that you can simply not use if you do not agree to its inclusion in the EH Platform.
Legal notice on the inputs and outputs of AI Services
AI Services like HR Agent and AI Wand Enhancements are powered by large language models. The outputs, and in some cases, the actions, these services produce depend on your inputs and instructions. You are responsible for the data you input into AI Services. Where an AI Service can take actions on your behalf within the platform, those actions are carried out on your explicit instructions. You are responsible for reviewing AI outputs to ensure they are appropriate for your needs, and for the accuracy of any instructions you provide.
Your data
Any Personal Data you provide is processed in accordance with our Privacy Policy.
If you input Personal Data into AI Services like HR Agent, you do so voluntarily. Any processing of Personal Data in these instances is carried out on the basis of your consent or the performance of our contract with you.
Any Personal Data processed when we perform our AI-Powered Implementations is dependent on the data files you give us, and we provide these services under our contract with you.
The ‘Details’ section in the table above also provides information about the data processing activities of each service.
AI Insights involves ongoing processing of data relating to employee activity on the platform to surface factual insights to their managers. Employers are responsible for enabling the feature and for providing appropriate notice to their employees about its use. Admins can manage this feature via settings.
We do not use Personal Data to train AI models. Where our AI Services process your data, this occurs through inference, your data informs the AI’s output in the moment but does not alter the underlying model. We also do not permit our AI technology partners to use customer Personal Data to train their AI models.
The Personal Data processed through the AI Services is stored securely on our servers with appropriate security measures in place. We take steps to ensure that our AI technology partners do not retain Personal Data beyond what is necessary to return an output.
We do not sell any of your personal data to third parties.
AI technology partners
We use third parties to provide some of our AI Services. By actively using AI Services, you consent to the data you input being shared with our AI technology partners for the purpose of us providing those services to you.
Hero AI powers the AI features described in this Statement. Where delivery of those features relies on third-party AI model providers, we have in place appropriate data processing agreements that restrict how those providers may use your data.
We direct the processing of Personal Data through our AI technology partners to meet our contractual obligations to provide the Implementation services to you as a business customer.
We may also share your Personal Data with third-party service providers engaged to deliver the services you use. A full list of our sub-processors, including our AI technology partners such as Anthropic (Claude) and Google (Gemini), is available on our Trust Centre.
Updates to this Statement
We may update this Statement from time to time, and you are encouraged to periodically review this Statement for changes. We may also notify you via email or in-platform notifications if there are significant changes to how we provide our AI Services or if we make material changes to this Statement that affect you.
