This AI Services Statement (the “Statement“) outlines the use of artificial intelligence (AI) across the Employment Hero Platform, including the Employment Hero Work app (EH Work app), Employment Hero Jobs app (EH Jobs app), Employment Hero websites, and any additional products and services (EH Platform).

This Statement provides transparency on our AI Services, how they operate, the data handling practices involved, and the technology partners who support the delivery of the AI Services.

Our AI Services are embedded as core features or services of the EH Platform, and you may not be able to opt out of its inclusion. There are some AI Services that you can simply not use if you do not agree to its inclusion in the EH Platform.

Inclusion of the AI Services

The EH Platform incorporates AI Services that you may voluntarily use, which are designed to offer you the best experience possible when using the EH Platform. There are some AI Services that are core inclusions in our provision of the EH Platform, like AI-Powered Implementation for business customers, which is necessary for effectively onboarding you as a customer and giving you a seamless experience.

AI Services	Details
AI People Insights	An AI-powered feature that delivers insights about employees to their managers. Organisation admins can manage the availability of this feature in settings.
Hero AI	An AI-powered chat tool that answers questions your employees may input relating to their business and employment, based on the organisation account information. Hero AI can also provide you with answers to your questions by utilising the information in your company policies and the ‘knowledge based articles’ on our help centre. Hero AI  processes the data you input into the feature, and the data from external sources or within your organisation account (like policies) needed to provide relevant outputs.
AI Recruitment Agent	The AI Recruitment Agent assists businesses with early-stage candidate screening as part of the hiring process. It analyses the provided job description to generate role-relevant screening questions; users also retain the ability to manually input or edit their own custom questions. Following the recruiter’s selection of candidates, the AI Recruitment Agent facilitates the first round of interviews by reaching out to candidates and providing a link to the interview platform. The Agent reviews written, audio, and video responses to produce an evaluation of a candidate’s suitability to support the recruiter’s shortlisting decisions. This includes automated scoring and a summary of the candidate’s strengths and weaknesses relative to the criteria and questions set by the recruiter.
AI Wand Enhancements	Intelligent content editing and rewriting feature that operates only on your command. The data that is processed through this service is only the data you actively input if you voluntarily decide to use it.
AI-Powered Implementation	Our customers start their journey using the EH Platform through our Implementation services. These services are powered by AI to ensure efficient and effective onboarding of new customers.  To carry out the implementation of the EH Platform, customers need to provide us with business and employee details, including personal data of employees (like name, DOB, address, payroll data and other employment information). This information is crucial for the setup and configuration of the EH Platform to provide the contracted services to each customer. We use AI to organise the provided data into the format required for effective and efficient implementation. This process also includes verifying and validating the information to reduce errors and improve the quality of the implementation process. This means that we implement the EH Platform for your business at a fast pace and at a lower cost to you.
AI features in Employment Hero Jobs (including SmartMatch)	EH Jobs is a job board in which candidates can create a profile and seek jobs. AI-powered features within EH Jobs include SmartMatch, profile summaries, AI Assistant, CV parsing, and AI Wand Enhancements. You can learn more about these features, and the related data handling practices here.

Legal notice on the inputs and outputs of AI Services

AI Services like Hero AI and AI Wand Enhancements are powered by large language models, and the outputs you receive from these services depend a lot on your own inputs. You are responsible for the data you input into these AI Services with ‘free text’ functionalities. You are also responsible for the outputs of these AI Services, and you should review these outputs to ensure that they are appropriate for your needs.

Your data

Any personal data you provide is processed in accordance with our Privacy Policy, and we only process the personal data you provide to us. 

If you input personal data into AI Services like Hero AI, AI-Powered Implementation, or the AI Wand Enhancements, you do so voluntarily, and any processing of personal data in these instances are carried out with your consent.

Any personal data processed when we perform our AI-Powered Implementations is dependent on the data files you give us, and we provide these services under our contract with you.

The ‘Details’ section in the table above also provides information about the data processing activities of each service.

AI People Insights will involve ongoing processing of data relating to the activities of the employee on the platform to analyse and deliver insights to their managers. The employer is responsible for obtaining any necessary consents from their employees for the use of this feature, and admins can manage this feature via settings.

We analyse the performance of our AI Services, and user activity to improve and develop our AI Services. We do not use personal data to train any AI models or for machine learning.

The personal data processed by the AI Services are stored securely on our servers, with appropriate security measures in place to protect against data breaches and unauthorised access. We take steps to ensure that our AI technology partners who support the provision of the AI Services do not store personal data. We also do not permit our AI technology partners to use the personal data of our customers to train their AI models.

We do not sell any of your personal data to third parties.

AI technology partners

We use third parties to provide some of our AI Services. By actively using AI Services like Hero AI, AI-Powered Implementation. and the AI Wand Enhancements, you consent to the data you input being shared to our AI technology partners for the purpose of us providing those services to you. We use OpenAI to provide Hero AI and AI Wand Enhancements. 

Our AI-Powered Implementations will involve the use of OpenAI as an AI technology partner. We direct the processing of personal data through our AI technology partner to meet our contractual obligations to provide the Implementations services to you as a business customer.

We may also share your personal data with select third party service providers we engage to generally provide the services you request. You can view a full list of our third-party sub-processors here.

Updates to this Statement

We may update this Statement from time to time, and you are encouraged to periodically review this Statement for changes. We may also notify you via email or in-platform notifications if there are significant changes to how we provide our AI Services or if we make material changes to this Statement that affect you.
