Job Purpose:
To provide essential administrative support to the finance function, particularly in response to increased workload related to the wage subsidy program, participant onboarding, and NIAA compliance. This role ensures continuity of operations, improves workflow efficiency, and supports accurate, timely invoicing.
Key Responsibilities
1. Wage Subsidy Administration
- Respond to wage subsidy-related emails and requests
- Track and collate required documentation (e.g. payslips, leave declarations)
- Follow up with employees fortnightly for confirmations and documentation
- Maintain organised records for reporting
2. Participant Onboarding Support
- Send, track, and follow up on onboarding questionnaires via email and phone
- Assist with document collection and data entry into CRM systems
- Liaise with participants to clarify missing or incomplete information
3. NIAA Forms & CRM Entry
- Prepare and submit NIAA Form 1 documentation
- Enter relevant participant and program data into the CRM system
- Prepare Forms 2–4 to support invoicing processes
- Follow up with program staff to ensure timely and complete data submission
- Maintain organised records for reporting and audit purposes
4. General Finance Admin Support
- Collate and file supporting documents for accounting and invoicing
- Assist with payment runs or invoice processing as needed
- Draft and distribute standard finance-related communications
- Maintain orderly digital filing systems to ensure audit-readiness
5. Leave & Absence Coverage
- Provide continuity of key admin tasks when finance staff are unavailable
- Monitor shared inboxes and escalate urgent issues where required
General Duties:
- Contribute to the continuous improvement of Worldview Foundation’s systems and processes.
- Support delivery of new projects and business initiatives.
- Comply with all HSEQ company policies and processes.
- Work with a range of individuals from skilled technicians through to disadvantaged individuals.
Skills and Knowledge
- Experience in an administrative or finance support role
- Competency in Microsoft Office (Excel, Word, Outlook) and financial/CRM systems (Xero, Zoho CRM)
- Strong organisational and time management skills, with the ability to manage multiple tasks.
- High attention to detail and accuracy in data entry and documentation.
- Good interpersonal skills with the ability to communicate effectively with Aboriginal and Torres Strait Islander peoples and diverse stakeholders.
- Demonstrated understanding of or willingness to learn about Aboriginal and Torres Strait Islander cultures and the issues affecting communities.
- Prior experience working in not-for-profit or community services organisation is highly desirable but not required.
Qualifications
- A valid ACT Working with Vulnerable People Card, or ability to obtain
- A valid Police Check within the last 3 years, or ability to obtain
- Certificate or diploma in business administration, bookkeeping, or accounting (desirable but not essential).
