Suncoast Christian College is a well-established pre-prep to Year 12 co-educational College of over 1000 students, situated on the beautiful Sunshine Coast. The College is excited to announce that we have a new part-time, permanent opportunity available for an experienced and efficient Accounts Receivable Officer. The role is to commence as soon as possible, working 5 days a week 8:30am to 3pm. The successful candidate will be responsible for managing and maintaining accurate records of all accounts receivable transactions, ensuring timely and accurate invoicing, and following up on outstanding payments. The ideal candidate will have excellent communication and organizational skills, be detail-oriented, and have a strong understanding of accounting principles.
KEY RESPONSIBILITIES:
Customer Service
- provide a high-level of customer service for payments received from students, uniform shop, transport, café, Flexischools, parents, staff, visitors and agents as required;
- investigate and resolve any debtors’ enquiries or irregularities; and
- ensure the accounts receivable office is suitably maintained and funds are secured adequately at all times.
Receipting
- ensure all daily and periodic receipting of fees and administrative data entry is kept current and all entries are recorded using the correct general ledger code/s and Goods and Services Tax (GST) codes;
- manage the daily cash receipting, cheque payments and EFTPOS payments for all College bank accounts;
- manage and process all payment plans, direct debits and credit card payments;
- manage online receipt options e.g. FACTS and Flexischools;
- prepare banking and bank deposits;
- process bank statement credits and dishonoured payments.
Debtor Accounts
- manage the complete fee process for the College in a timely manner;
- maintain all debtors’ functions, including all period start and period end procedures, annual billing and receipting payments;
- issue annual fee billing runs;
- write and follow up payment plans in consultation with the Finance Manager;
- work with the Enrolment Office and Finance Manager to communicate payments and set up payment plans;
- process and administer pastoral, scholarship, staff and fee concession discounts;
- perform monthly reconciliations for between the debtors’ trial balance and the general ledger account, provide checklist to the Senior Accounting Officer; and
- maintain accurate correspondence on all debtors follow up, including notes in PCSchool (FACTS, letters on DocMan etc.
Debt Collection
• Assist the Finance Manager with the collection of overdue fees across all trading centres, as per the Debtors and Fees Policy. This includes:
a) Follow-up of overdue accounts either by letters, emails or phone calls
b) Negotiating payment plans
c) Liaise with debt collection agencies as required
• Prepare monthly Accounts Receivable Reports for the Finance Manager, which may include the progress of collection activities, Debtors Aging Reports, and any other relevant information.
SKILLS & EXPERIENCE REQUIRED:
- Previous experience in a similar role is essential
- Experience in a school setting will be highly regarded
- Proficient in Microsoft Office, particularly Excel
- Experience with accounting software (e.g. QuickBooks, SAP) preferred
- Previous experience collecting debt in a empathetic and professional manner is essential
- The ability to build strong relationships across the board is essential
- Exceptional interpersonal skills and a professional, friendly, approachable and positive demeanour is required
- Highly organised with excellent verbal and written communication skills
- Ability to handle enquiries and resolve issues in a calm and efficient manner
- The ability to handle highly confidential information with sensitivity and discretion
- The ability to manage time effectively and meet deadlines in a busy environment.
