We are a well-respected chartered accounting firm based in Richmond, seeking a full-time Client Services Coordinator to join our team. This role is perfect for someone with at least two years of experience who is confident, proactive, and ready to hit the ground running. You’ll play a vital role in supporting one of our Partners and assigned team while ensuring seamless administration and maintaining strong relationships with clients.

As a Client Services Coordinator, you will be responsible for:

  • Preparing and reviewing client letters and correspondence
  • Onboarding and setting up new clients
  • Liaising with clients, handling queries, and ensuring a high level of service
  • Maintaining client company registers and internal documents, including ASIC requirements
  • Managing company changes and lodging necessary documentation with ASIC
  • Reviewing ASIC annual reviews and ensuring compliance
  • Registering companies and trusts with NTAA
  • Managing billing and invoicing processes
  • Preparing and sending DocuSign packs
  • Lodging Income Tax Returns
  • Following up on client queries and proactively providing support
  • Preparing reports and maintaining accurate records
  • Answering telephone calls and handling general administrative tasks
  • Assisting and supporting partners and team members as required
  • Mentoring and guiding our Junior Client Services Coordinator
  • To be successful in this role, Candidates should possess the following attributes:

  • Previous experience in administration or a similar role within a professional services environment
  • Confidence and initiative to take ownership of tasks and support the team effectively
  • Strong organisational skills with a keen eye for detail
  • Excellent written and verbal communication skills
  • Ability to build and maintain strong relationships with clients
  • A proactive and positive approach to work
  • Strong proficiency in Microsoft Word and Excel
  • Desirable Experience in:

  • BGL CAS 360, ASIC Portal, ASIC Connect, ATO Portal, Xero Practice Manager, Virtual Cabinet, NTAA, and/or Constitute
