You as an Operations Coordinator will:
- Provide administrative, coordination, and analytical support to the Operations team.
- Maintain and update Operations records, trackers, resource information, reports, and shared documents.
- Support project teams and internal departments by compiling information, following up on requests, and helping coordinate operational requirements.
- Schedule and coordinate Operations meetings, site visits, resource reviews, departmental updates, and other team activities.
- Prepare meeting agendas, presentations, minutes, action-item trackers, and follow-up summaries as required.
- Follow up with site teams to gather information, confirm updates, and compile reports.
- Support document filing, records management, and document control requirements for Operations-related materials.
- Assist in the development and maintenance of tools, spreadsheets, dashboards, templates, and reports to support operational decision-making.
- Track employee and resource movements to and from projects, ensuring information is accurate and current.
- Identify opportunities to improve administrative workflows, reporting processes, and operational coordination.
- Liaise with project teams, departments, and corporate support groups to support timely communication and follow-up.
- Provide general administrative support to the VP, Operations and Operations team as required.
- Visit project sites, take photos, gather updates, and connect with site teams to help capture project activity, milestone progress, team stories, and operational highlights.
Is this the right role for you?
- 1–2 years of experience working in construction, operations coordination, business administration, communications, marketing, or a related field.
- Strong organizational skills with the ability to manage multiple priorities, deadlines, and follow-up items.
- Strong verbal and written communication skills, including the ability to prepare clear meeting minutes, reports, presentations, and internal communications.
- Proficiency with Microsoft Office applications, including Excel, Word, PowerPoint, Outlook, and Teams.
- Working knowledge of Excel, including formulas, tables, basic data analysis, and report formatting; experience with pivot tables is considered an asset.
- Experience with social media, content creation, or communications coordination, including creating, coordinating, scheduling, or publishing content.
- Basic understanding of how to create professional, brand-appropriate content for internal updates, presentations, newsletters, social media, or other communication channels.
- Comfortable coordinating with project teams, Operations leadership, and other departments to gather information, confirm messaging, and support timely content creation.
- Ability to maintain organized records, trackers, filing systems, meeting minutes, photos, shared documents, and Operations-related materials.
- Familiarity with construction operations, project environments, document control, resource coordination, or corporate communications is considered an asset.
The salary range for this role is $60,000-$80,000.
