Job Title: Administrative Coordinator
Location: Kingston, ON
Shift: Monday to Friday, 8:00am to 4:30pm
Pay Rate: $20.00 to $25.00 per hour
We are currently seeking an Administrative Coordinator to join a busy office environment in Kingston. This role will provide support across daily administration, scheduling, coordination, and basic accounting functions.
The ideal candidate will be highly organized, detail-oriented, and comfortable managing multiple tasks in a fast-paced setting. This is a hands-on role suited to someone who enjoys keeping things organized, supporting internal teams, and helping daily operations run smoothly.
Responsibilities:
• Provide daily administrative support, including data entry, filing, document management, and record keeping
• Maintain organized electronic and physical filing systems
• Assist with internal communication and coordination between departments
• Coordinate schedules, appointments, meetings, and follow-ups as required
• Support production, operations, or service scheduling when needed
• Track timelines, outstanding items, and deadlines
• Assist with accounts payable and accounts receivable tasks, including invoice entry and reconciliation
• Support payroll, expense tracking, or related administrative processes as required
• Maintain accurate financial and administrative records
• Prepare reports, update tracking documents, and assist with administrative projects
• Respond to phone calls and emails in a professional and timely manner
• Help identify ways to improve administrative processes and office workflows
Requirements:
• College diploma in Business Administration, Accounting, or a related field is considered an asset
• Minimum 1 year of experience in an administrative, accounting support, or office coordination role
• Strong Microsoft Office skills, especially Excel
• Excellent organizational and time management skills
• Strong attention to detail and accuracy
• Ability to multitask and prioritize in a fast-paced environment
• Effective communication and interpersonal skills
• Experience with scheduling, coordination, accounts payable, or accounts receivable is considered an asset
