100% Indigenous-owned consulting firm supporting First Nations communities and
Indigenous-led organizations through financial administration, governance
support, project management, and community-centred initiatives. AIMA also supports and operates affiliated business ventures, including Shelly’s Indigenous Bistro and other current or future
initiatives led by senior leadership. This role operates within a high-trust, confidential, and multi-entity environment.
POSITION SUMMARY
The Personal Assistant (Evenings & Weekends) provides
direct support to senior leadership with personal logistics, scheduling, family
coordination, transportation support, errands, and administrative activities outside of regular business hours.
This role requires strong organizational skills, professional judgment, discretion, and the ability to manage changing priorities in a fast-paced and highly confidential environment.
The Personal Assistant works closely with the Executive Assistant and other designated support personnel to ensure continuity, coordination, and support across business, family, travel, and personal commitments.
SCOPE OF ROLE
• Acts on direct instruction from senior leadership
• Works collaboratively with the Executive Assistant and designated support personnel
• Supports family, personal, logistical, and executive coordination needs
• Handles highly sensitive and confidential information with professionalism
• Supports execution of priorities but does not make independent operational decisions
KEY RESPONSIBILITIES
Executive Coordination & Communication
• Maintain regular communication with the Executive
Assistant regarding schedules, appointments, travel, family commitments,
errands, and priorities
• Ensure tasks, bookings, appointments, and follow-ups are
coordinated and not duplicated
• Escalate scheduling conflicts, urgent matters, or changes
in priorities promptly
• Provide updates regarding completed tasks, outstanding
items, and issues requiring attention
• Work collaboratively with the Executive Assistant and
other support personnel to maintain continuity and organization
Personal & Household Coordination
• Coordinate appointments, schedules, and personal
commitments
• Assist with household organization and logistical planning
• Coordinate service providers, deliveries, maintenance
appointments, and third-party arrangements
• Assist with time-sensitive personal tasks and errands
• Support planning and preparation for travel, events, and
personal commitments
Family & Child Support
• Assist with family scheduling and activity coordination
• Support transportation and logistics related to children’s
activities, appointments, and commitments
• Provide age-appropriate supervision and support as
required
• Assist with family events, outings, and scheduling needs
• Coordinate communication related to family schedules and
commitments
Logistics, Errands & Operational Support
• Complete time-sensitive errands and logistical tasks as
assigned
• Coordinate deliveries, purchases, returns, supplies, and
equipment
• Support vehicle-related logistics, including pickups and
drop-offs
• Assist with travel arrangements, accommodations, and
itineraries
• Provide support during evenings, weekends, travel periods,
and special events
Confidential & Sensitive Information Handling
• Handle confidential personal, family, business, financial,
governance, and operational information
• Maintain strict confidentiality and privacy at all times
• Ensure documents, records, and communications are handled
securely
• Exercise professional judgment in all interactions
QUALIFICATIONS & EXPERIENCE
• Demonstrated reliability, punctuality, and professionalism
• Strong organizational and time-management skills
• Ability to manage multiple priorities in a fast-paced
environment
• High level of discretion, judgment, and integrity
• Strong written and verbal communication skills
• Valid driver’s license and access to a reliable vehicle
• Ability to work flexible evening and weekend hours
WORK CONDITIONS
• Primarily evenings, weekends, and non-traditional business
hours
• Schedule will vary based on operational, travel, family,
and event needs
• Combination of office work, travel, errands, and off-site
coordination
• Local travel throughout Winnipeg required

• Valid driver’s license and reliable vehicle
• Ability to work flexible evening and weekend hours
• Ability to maintain strict confidentiality regarding

• Ability to work collaboratively with the Executive
Assistant and other designated support personnel
• Signing of Confidentiality & Non-Disclosure Agreement
• Compliance with all company policies and procedures
