​​With only one HR staff member managing up to 120 employees in 18 different locations nationwide, they knew they had to digitise their HR and payroll processes in order to ensure sustained and smooth operations. That’s where Employment Hero came in.

We spoke with Julian Wong, Chairman of NASOM, about their experience with Employment Hero and how it has supported them thus far.

The challenge…

As a non-profit organisation, prudent spending is important and crucial to NASOM, as the Society is heavily dependent on contributions and donations to sustain its operations. Prudent spending for the Society however, means limited manpower as there isn’t a huge hiring budget.

According to Julian, “with the exception of payroll processing which was outsourced, all other HR-related tasks are carried out manually by one person. This HR manager also had to painstakingly compile and tabulate leave reports from 18 centres nationwide for payroll processing purposes — which is incredibly labour-intensive.” 

To resolve this problem, NASOM decided to digitalise their HR and payroll processes by implementing Employment Hero.

By leveraging automation, NASOM is now able to overcome its manpower challenges, and relieve their single HR manager from all the time-consuming manual tasks.

As pointed out by Julian, “tracking expenses, annual leave, performance and training progress and more has become so much easier now with an all-in-one digital platform.” 

Streamlined reporting

Monthly reporting used to take up the bulk of their HR manager’s time — but with Employment Hero, Julian believes that it has saved at least 50% of their HR manager’s time.

“Reporting for the Society’s board is now much easier with the platform — the reports are accessible, and can be generated in just a few clicks.” 

Employee self-service

Previously, NASOM required all its employees to update their personal data, apply for annual leave, file expense claims and more manually — via Excel forms, manually printed forms, and so on. With the Employment Hero platform, all staff members are now empowered to use self-service features to manage their HR needs.

Julian also emphasised the added convenience in maintaining staff records — “staff data is kept up-to-date automatically, and easily extracted by the HR manager for various purposes. The HR manager no longer needs to manually request each staff member to provide an update through an Excel form.” 

A necessary investment

For Julian, Employment Hero has proven to be the right choice for the organisation. By lifting the burden of all the manual tasks and reporting needs of the Society from the HR manager, he can now shift their focus towards hiring and recruitment, which has been particularly challenging for them in the past few years.

“With the HR manager previously struggling to juggle payroll, reporting, leave tabulation and more, little time was left for recruitment, which affected the program delivery of our special needs students. With this digitalisation effort however, our HR manager can concentrate more on recruitment efforts, enabling other support staff to focus on key priorities like improving the programs, financial status of the Society, staff welfare and so on.”
