The terms and scope of services below govern the provision of the Managed Experience Implementation Services by Employment Hero Pty Ltd, its relevant affiliate, or its trusted Partners, and apply in conjunction with the Employment Hero Platform Terms and Conditions and any other applicable terms or policies.

Guided Implementation Services – Asia Pacific
Scope of Services | |

Max Term | • 3 months from signing the Customer Services Agreement, subject to receiving complete data and scoping documents. • The typical timeframe for an HR implementation project is 6 weeks from when we receive a complete set of the requirements data and scoping documents in order to configure the platform. |
In-scope services | Managed HR implementation Services includes the configuration of the platform including employee data. This includes: • project management of the implementations process; • set-up of the Employment Hero Platform; and • set-up of the HR company and employee data. The standard price assumes launch and activation to your employees at one time. We do not offer a phased rollout. |
Out-of-scope services | • The creation of greater than 3 contracts, policies, reviews, LMS, recruitment or other content. • Uploading existing documents (contacts, certifications) to employee files. This responsibility sits with you. • Training managers and staff on how to use the system. • Anything else that is not listed under ‘In-scope services’. |
Additional Fees | • If the project goes beyond the Max Term, you may incur an Additional Fees. We hold absolute discretion as to whether any Additional Fees are chargeable. • These services required beyond the Max Term as a result of your business changes, conduct or fault are charged at $280 per hour, capped at $1000 per month for 4 hours. • Any ‘Out-of-scope services’ that are required or requested will be charged at $280 per hour. We reserve the right to determine whether these services can be provided. • We reserve the sole discretion to apply additional fees for services that are not ‘In-scope services’. |
Your obligations | • You must be actively engaged during the entire implementation process to achieve ‘go-live’ within the Max Term. ‘Go-live’ means you have signed off on your project, have taken off setup mode and launched to your employees. 70% of employees should have accessed the platform for the project to count as completed. • One Employment Hero account can connect to only 1 payroll account. If you have multiple entities and more than 1 payroll account, you may need multiple Employment Hero accounts. Please speak to your product specialist about how best to set this up for your organisation • You must: ◦ be competent with computers and windows technology; ◦ provide the employee data in the format of our CSV upload template (Required Format); ◦ advise your Employment Hero product specialist if you have multiple entities and more than 1 payroll account, as you may need multiple EH accounts; ◦ provide scoping documentation and all employee data within 1-5 business days of signing the Customer Services Agreement; and ◦ respond to requests from us within 24-48 hours. |

In-scope services | Managed HR The ‘In-scope services’ include: • Configuration of the platform, like: ◦ creating pay categories, leave categories, allowance types, deduction types and cost centres ◦ setting up business settings such as ABA or BECS file(s), payroll schedules, employing entities, ATO or IRD settings ◦ setting up employee data, including personal details, bank accounts, super or KiwiSaver funds, tax scales, etc. ◦ setting up employee masterfile and standard pay records. • Processing scenario testing to confirm system configuration • Technical assistance in one parallel pay run • Technical assistance in first live payrun |
Out-of-scope services | • Advice on Payroll legislation and Award interpretation. • An individual review of your system. • All customer obligations or assumptions. • Setting up pay condition rules. • Any additional services or out of scope services required may incur an additional hourly fee. EH reserves the right to determine which out of scope services can be provided. • Anything not included in the Implementation Services in scope section. |
Additional Fees | • If the project goes beyond the Max Term, you may incur an Additional Fees. Your obligations | • Payrun testing – this includes but is not limited to running parallel payrun to ensure that the results meet your needs and expectations within the limitation of the software • Creation of Chart of Accounts / Opening Balancing • Enabling electronic lodgement and STP • If Time & Attendance is applicable then it is your obligation to set up the Clock Me In system if this option is to be undertaken. • If Rostering is applicable, then you will need to set it up yourself following a webinar provided by us. • Integrations with third-party applications (e.g. NoahFace, Skedulo) is your responsibility. • Training managers and staff on how to use the system is your responsibility. • For a launch to be successful, you need to be actively engaged during the entire implementation. • One Employment Hero account can connect to only 1 payroll account. If you have multiple entities and more than 1 payroll account, you may need multiple Employment Hero accounts. Please speak to your product specialist about how best to set this up for your organisation. • You must: ◦ be competent with computers and windows technology; ◦ provide the employee data in the format of our CSV upload template (Required Format); ◦ advise your Employment Hero product specialist if you have multiple entities and more than 1 payroll account, as you may need multiple EH accounts; ◦ provide scoping documentation and all employee data within 1-5 business days of signing the Customer Services Agreement; and ◦ respond to requests from us within 24-48 hours. |

In-scope services | Managed Experience Implementation Services includes the configuration of the HR and/or Payroll platform. The ‘in-scope services’ identified below that apply to you are based on if your subscription includes only HR or payroll, or both. The ‘In-scope services’ includes: • overseeing the implementation of the Employment Hero HR and/or Payroll Platform by dedicated Implementation Consultant; • HR platform configuration: Employee data, security groups, onboarding/offboarding checklists, three custom contracts, policies, paperless templates and one-to-many training for system admins; and/or • Payroll platform configuration: Pay categories, leave categories, allowances, deductions, cost centers, business settings, employee setup (personal details, banking, system payrun testing and one parallel pay run (this is led by you). |
Out-of-scope services | • Connection to third-party APIs. • Any upload of historical documents/data. • Training of managers/staff. • Payroll legislation advice and system reviews. • Any other service that is not listed under ‘In-scope services’. Note: Any unlisted or additional services may incur fees with our approval. |
Additional Fees | • If implementation is required beyond the Max Term as a result of your business changes, conduct or fault, then an additional fee may be charged for the provision of services for a further 3 months, at a rate of £500 GBP per hour. • At your request, we may provide services to you that are beyond the scope set out in section 1.1 above. You may be charged additional fees for these services on an hourly basis for the time taken to provide you with the services, at a rate of £125 GBP per hour. • We reserve the sole discretion to apply additional fees for services that are not ‘In-scope services’. |
Your obligations | • You must be actively engaged during the entire implementation process to achieve ‘go-live’ within the Max Term. ‘Go-live’ means you have taken off setup mode with 70% of employees invited and active on the platform and completed a parallel pay run. • One Employment Hero account can connect to only 1 payroll account. If you have multiple entities and more than 1 payroll account, you may need multiple Employment Hero accounts. Please speak to our team about how best to set this up for your organisation. • You must: ◦ be competent with computers and windows technology; ◦ provide the employee data in the format of our CSV upload template (Required Format); ◦ advise your Employment Hero product specialist if you have multiple entities and more than 1 payroll account, as you may need multiple EH accounts; ◦ provide scoping documentation and all employee data within 1-5 business days of signing the Customer Services Agreement; and ◦ respond to requests from us within 24-48 hours. |
