JOB OVERVIEW
As a Finance Account Executive at Mindful Solutions, you will play a critical role in managing daily financial operations, ensuring accurate invoicing, maintaining financial records, and supporting reconciliation processes. Your responsibilities will ensure smooth financial transactions across group entities while assisting the Head of Finance and Admin / Finance Account Assistant Manager with compliance, reporting, and operational efficiency.
This role requires strong attention to detail, accuracy, and time management, as well as the ability to handle high-volume transactions while ensuring compliance with financial policies.
KEY RESPONSIBILITIES AND DUTIES
Accounts Receivable (AR) & Invoicing
- Validate and issue invoices accurately for all billings, including normal transactions and HRDCorp invoices.
- Track payment reconciliation for all issued invoices, ensuring collections are up to date.
- Send Statements of Account to customers and follow up on overdue payments.
Maintain an updated accounts receivable aging report and flag potential risks to the Finance Manager.
Accounts Payable (AP) & Expense Management
- Record, track and process both trade and non-trade supplier invoices, ensuring accuracy and alignment with approved budgets.
- Review and validate staff monthly claims before finalizing for payment.
- Work with the Payment Team to ensure timely payments and proper documentation.
Bank & Receivables Reconciliation
- Perform weekly and monthly bank reconciliations to ensure transaction accuracy.
- Reconcile customer payments with issued invoices, identifying discrepancies and resolving outstanding issues.
- Work closely with the Payment Team to ensure transactions are updated correctly in accounting system.
Month-End Closing & General Ledger (GL) Accuracy
- Ensure all transaction entries are accurate and complete before month-end closing.
- Review GL entries for errors and assist in month-end adjustments.
- Support the Head of Finance and Admin / Finance Account Assistant Manager in preparing financial data for management analysis.
Compliance, Reporting & Documentation
- Ensure financial records are properly maintained and filed on time.
- Assist in preparing audit documents and financial reports as required.
- Support compliance with tax regulations, statutory reporting, and internal policies.
- Liaise with auditors, tax agents, and regulatory authorities when needed.

Technical Proficiency & Systems Knowledge
- Proficiency in Xero Accounting, ERP systems, and finance software.

- Effectively coordinate with internal teams (including cross pillar team and sales team) and external stakeholders (suppliers, clients, auditors).
QUALIFICATIONS OR REQUIREMENTS
- Possess at least a Diploma / Bachelor’s Degree, Post Graduate Diploma, Professional Degree, Finance/Accountancy or equivalent.
- Minimum 2 years of experience and fresh grad are welcome to apply.
- Strong understanding of accounting principles and processes.
- Proficiency in Xero Accounting (experience with other systems like SQL, Sage UBS, QNE is a plus).
- Able to communicate effectively in English with internal teams and external stakeholders.
- Detail-oriented, Analytical, resourceful, organised, proactive, good interpersonal and communication skills, and self-driven with a positive mindset.
- Able to work in fast-paced environment and meet deadlines.
