Payroll Partner
Payroll Partner Terms and Pricing | |

Headcount | The ‘Headcount’ for calculating the ‘per employee’ Fees for Managed Payroll is the number of unique employees paid through the EH Payroll software in a monthly period. |
Our responsibilities | We will be responsible for: – ensuring all data received by the agreed timeframes is entered into the system for processing in the appropriate pay cycle; – providing you with a verification report. This report should be provided before the time you need to verify final payroll processing; – processing the payroll and generating the standard reports within the agreed timeframes; – finalising the payroll process and providing employee EFT data to you for processing; – disbursing superannuation payments and associated reports quarterly; – maintenance of the payroll system, which includes leave, pay components, allowances and deductions; and – submitting pay events on your behalf to the ATO in line with STP reporting requirements where an authority has been provided. |
Your responsibilities | You will be responsible for: – providing accurate data for entry in the agreed format and within the agreed timeframes to ensure all processing schedules are able to be achieved; – providing authorised payroll variations by the agreed timeframes for all processing periods; ensuring all data in is complete, accurate and updated, as required; – reviewing the payroll for verification prior to the final payroll processing; – advising us of any changes, exceptions and amendments to the pre-approval information in writing, via email in line with confirmation timeframes; – authorising the release of the payroll file and banking ABA file; – processing PAYG; – processing payroll tax payments. |

Our responsibilities | We will be responsible for: – ensuring all data received by the agreed timeframes is entered into the system for processing in the appropriate pay cycle; – providing you with a verification report. This report should be provided before the time when you need to verify final payroll processing; – processing the payroll and generating the standard reports within the agreed timeframes; – finalising the payroll process and providing employee EFT data to you for processing; – disbursing superannuation payments and associated reports quarterly (for Australian employees only); – maintenance of the payroll system, which includes leave, pay components, allowances and deductions; – providing a payroll help desk for agreed key contact(s) as they relate to the payroll calculation process (within agreed limits). – submitting pay events on your behalf to the ATO in line with STP reporting requirements where an authority has been provided. |
Your responsibilities | You will be responsible for: – maintaining an active payroll software subscription, without which you cannot access the Managed Payroll service; – providing accurate data for entry in the agreed format and within the agreed timeframes to ensure all processing schedules are able to be achieved; – providing authorised payroll variations by the agreed timeframes for all processing periods; ensuring all data in is complete, accurate and updated, as required; – reviewing the payroll for verification prior to the final payroll processing; – advising us of any changes, exceptions and amendments to the pre-approval information in writing, via email in line with confirmation timeframes; – authorising the release of the payroll file and banking ABA file; – processing PAYG; – processing payroll tax payments; and – providing us with at least one key contact and a backup for authorisations. |
Managed Payroll Extras | If you choose additional services, you will also be responsible for: – Where you request us to build rules into our payroll system which reflect the terms of an enterprise agreement which applies to you, it is your responsibility to ensure that the pay rates provided to us are at all times sufficient to meet your legal obligations (for example, minimum wage obligations). – The minimum rates of pay payable to employees under an enterprise agreement will generally be required to be increased on the first pay period after 1 July each year (or some other date set by the Fair Work Commission) either by virtue of the terms of the enterprise agreement itself or because the Fair Work Act 2009 provides that the base rates of pay set out in an enterprise agreement cannot be below the base rate of pay set out in the applicable modern award that underpins the enterprise agreement (and the pay rates under modern awards generally increase each 1 July). It will be your responsibility to inform us when there is a requirement to increase pay rates to employees in order to comply with minimum wage requirements, we will not monitor whether any pay rates provided to us by you are required to be increased. |
Optional additional services and fees | – Payroll database audit and/or transfer: $2,600 (mandatory for existing payroll software clients before commencement of Managed Payroll service). – Ad-hoc YTD Balance Uploads: $20 per employee. Chart of Accounts Build: $280 per hour. Payroll Consulting (including termination calculation modelling, rule creation and system maintenance): $280 per hour. – Additional Authorised Contact: $50 per month per contact (Authorised Contacts are those defined by you upfront and as amended from time to time who have direct permission to access the defined Services. The number of Authorised Contacts is limited to a maximum of 10% of the Headcount, rounded up to the nearest integer). – Minimum Fee per pay run and off cycle charges: 1-6 Employees: $120 per additional pay run; 7+ Employees : $20 per payslip. – Submission of PAYG to ATO outside of payroll (requires a signed Transaction negotiation authority) : $100 per submission. – Annualised Salary Report: $100 per employee (reconciliation not included). – Pay Period Reconciliation (upon request following Annualised salary report). $50 per employee per pay period. 2 weeks turn around. – Additional Parallel Pay Runs will incur the standard monthly fee. (One parallel pay run per pay schedule will be included in the implementation fee). |
HR Advisory
HR Advisory Terms And Pricing | |
Service Provider | HR Advisory is provided by Employment Hero Pty Ltd (ABN 11 160 047 709). |
Our responsibilities | We will provide (as detailed further below) Workplace Advice; Compliance, HR Documents; and Representation. – Workplace Advice: Means that we will offer an unlimited advisory telephone line and email advice to Authorised Contacts to provide workplace relations and performance management advice – available between 8:30am and 5:30pm AEST and AWST Monday to Friday over the telephone or alternatively via email. You acknowledge and agree that Workplace Advice does not constitute legal advice, and cannot be relied on as legal advice. Workplace Advice is designed to guide and assist you only and we do not accept any liability for any loss (or alleged loss) suffered as a result of you relying on the Workplace Advice. The Service is also subject to Fair Use Code, as defined in the Terms & Conditions. – Compliance: The compliance audit covers identifying applicable modern awards and advising on compliance obligations under those awards, as well as obligations under any applicable enterprise agreements, the Fair Work Act including the National Employment Standards and work, health and safety (WHS) legislation. You will also be informed throughout the Service if there are any changes to legislation that may affect contracts, policies or obligations under awards or enterprise agreements, the Fair Work Act or under WHS legislation – HR Documents: Means access to best practice and proven HR documents (including employment contracts, tools and workplace policies) that we have available on an as needs basis only. HR Documents are template documents and are not tailored to you and are provided without any warranty as to appropriateness or enforceability. – Representation: Means representation for you arranged by us for any alleged unfair dismissal, general protections, bullying or sexual harassment matter in the Fair Work Commission or any discrimination or harassment complaint made in the Australian Human Rights Commission or relevant State Anti-Discrimination Commission or Board, up to and including the first conciliation conference (where this is the first step in the matter). Representation will not be provided where a matter is listed for a mention, directions hearing, jurisdictional hearing or arbitration. Representation does not include any representation in an Australian Court. We reserve the right to refuse to offer Representation to you in situations where workplace advice was not sought from us in respect of the matter where it was reasonably practicable to do so, or in the case where workplace advice had been sought from us but that advice was not followed. Representation does not cover claims which relate to conduct or events which occurred wholly or partly prior to the start date of this Customer Agreement. |
Your responsibilities | You will be responsible for: – Compliance: You must schedule an appointment with us for the purposes of carrying out this inclusion. – Representation: You must notify us of any matter within 3 business days of receiving any claim for which it intends to engage our Representation Service. |

Our responsibilities | We will provide (as detailed further below), Compliance, HR Documents, HR Partner, HR Advice; and Representation. – Compliance: The compliance audit covers identifying applicable modern awards and advising on compliance obligations under those awards, as well as obligations under any applicable enterprise agreements, the Fair Work Act including the National Employment Standards and work, health and safety (WHS) legislation. You must schedule a consultation with one of our workplace consultants or HR Partners in order to receive this Service. You will also be informed throughout the Service if there are any changes to legislation that may affect contracts, policies or obligations under awards or enterprise agreements, the Fair Work Act or under WHS legislation. – HR Documents: Means access to best practice and proven HR documents (including employment contracts, tools and workplace policies) that we have available on an as needs basis only. HR Documents are template documents and are not tailored to you and are provided without any warranty as to appropriateness or enforceability. – HR Partner: A dedicated HR partner will become an extension of your business to implement HR Strategy, drive performance, help with complex HR issues including, but not limited to, managing investigations, underperformance, grievance and misconduct issues. The scope of the HR Strategy can cover priority areas across both Part A and B of the HR Health Check. – The number of contact hours per week shall not exceed an average of 10% of the Headcount for HR Partner, unless otherwise stated. HR Advice: Means that we will offer an unlimited advisory telephone line and email advice to Authorised Contacts to provide workplace relations and performance management advice – available between 8:30am and 5:30pm in the Client’s region as defined Monday to Friday over the telephone or alternatively via email. You acknowledge and agree that HR Advice does not constitute legal advice, and cannot be relied on as legal advice. HR Advice is designed to guide and assist you only and we do not accept any liability for any loss (or alleged loss) suffered as a result of you relying on the HR Advice. The Service is also subject to Fair Use Code, as defined in the Terms & Conditions. This means reviewing and updating the Client’s existing HR documents (such as employment contracts and workplace policies). An Employee Handbook consisting of multiple policies will be deemed to be a number of separate documents, rather than one document, for the purposes of fees. |
