Description
Welcome to Pictor. We’re a biotechnology company developing a streamlined, cost-effective targeted proteomic platform designed to generate insights across multiple biomarkers from a single sample. By combining focused biomarker panels with a practical laboratory workflow, we’re working to make complex proteomic analysis more accessible, efficient, and useful for researchers and laboratory partners. Our focus is simple: turn strong science into reliable technology that can perform in real-world laboratory environments.
We’re looking for an organised and proactive Office and Laboratory Administrator to support the smooth day-to-day running of Pictor’s offices and laboratories. You’ll play a key role in keeping operations running efficiently by providing reliable administrative, document-control, procurement, equipment-service, logistics and staff support.
This is a full-time, on-site role that involves coordinating operational activities across teams and sites. Responsibilities span office administration, document and SharePoint management, equipment servicing, inventory and purchasing, supplier coordination, shipping and customs logistics, and supporting quality, safety and a positive workplace experience.
Day to day, your key responsibilities will be:
- Provide administrative support to management and staff, including meetings, travel and internal events.
- Coordinate office facilities, supplies, memberships and external service providers.
- Maintain controlled documents, SharePoint sites and accurate records in accordance with the QMS.
- Coordinate equipment servicing, calibration, maintenance and associated records across NZ and USA sites.
- Manage procurement, supplier liaison, stock control and laboratory consumables.
- Coordinate logistics, shipping, freight, customs and dispatch documentation.
- Support employee onboarding, training records, recruitment, accounts and audit preparation.
- Follow QMS and health and safety requirements, maintaining a safe, organised and compliant workplace.
Ideally, you’ll have:
- Relevant tertiary, vocational or equivalent practical qualification in business administration, office management, laboratory operations, life sciences or a related field.
- At least 2 years of relevant administration or operations experience; experience in a laboratory, biotechnology, medical-device, diagnostic or other regulated environment is preferred.
- Strong organization, attention to detail, prioritization and follow-through with limited supervision.
- Proficiency with Microsoft 365, including Outlook, Word, Excel, PowerPoint, Teams and SharePoint.
- Experience coordinating suppliers, purchasing, inventory, equipment service, shipping or customs documentation is advantageous.
- A collaborative, adaptable, and solution-focused approach, with strong communication and organizational skills and a willingness to contribute to team development and knowledge sharing.
