Te Mahi Tūranga | About the Role

We’re looking for a proactive Executive Administrator to join our newly created Te Kupenga Aroha team based in Whakatāne. This is a new role offering flexibility to work part-time from 35 hours up to 40 hours per week. As the Executive Administrator you will support the Executive Manager and the wider team to ensure smooth operations, efficient administration, and the effective delivery of services for whānau.

Your responsibilities include:

  • Managing calendars, meetings, travel, room bookings, catering, minutes, and maintaining organised digital systems.
  • Maintaining confidentiality and preparing documents and reports to a high standard.
  • Supporting day-to-day operations, including supplies, purchase orders, IT requests, and general office needs.
  • Liaising with internal teams and external partners such as contractors, suppliers, and professional services.
  • Supporting audits, reviews, health & safety, and incident management processes.
  • Contributing to quality, risk management, and organisational compliance.
  • Supporting kaupapa Māori practices by helping embed our model of care Te Pou Mataaho across service delivery and team culture.

You’re an experienced, values-driven administrator with strong interpersonal skills. You’re professional with proven experience in handling information with discretion and maintaining confidentiality.

  • Excellent communication, relationship, and interpersonal skills.
  • Strong report writing, planning, facilitation, and problem-solving abilities.
  • A basic understanding of Te Reo Māori me ona tikanga and the ability to work in culturally responsive ways.
  • Flexibility, professionalism, and a commitment to positive outcomes for whānau.
  • A qualification in Business Administration or equivalent skills/experience
