About the role
As Project Administrator, you will play an important role in organising, scheduling and documenting the day-to-day tasks that support families to achieve warmer, drier and healthier homes. You will be a key point of contact for whānau/aiga clients, partners, landlords, property managers, contractors and internal teams, ensuring information is accurate, timely and well managed.
Key responsibilities
- Provide prompt and professional support by responding to phone calls, emails and general correspondence.
- Coordinate diaries, schedules, appointments, referrals and on referrals to community organisations.
- Maintain accurate client records and receive training in Salesforce and other systems used by the organisation if needed.
- Communicate with families to gather required documentation, including information needed for financial assessments.
- Prepare Healthy Homes Assessment reports and ensure information is complete, accurate and error-free.
- Send recommendation reports to homeowners, property managers and landlords with clear communication and advice.
- Support communication with landlords and property managers to help achieve better housing outcomes for families.
- Manage curtain approvals and coordinate information required for installations.
- Attend meetings, hui, conferences, workshops and industry training as required.

- A recent qualification in business administration, project management, communications, social services, community development, or a related field, or equivalent transferable experience.
- Strong written and verbal communication skills.
- Good organisational skills and the ability to manage competing priorities.
- Confidence using Microsoft Office applications, particularly Word, Excel, and Outlook.
- Strong attention to detail and a commitment to producing accurate work.
- The ability and willingness to learn new systems and processes, including Salesforce and other databases.
- A collaborative approach and a willingness to contribute as part of a supportive team.
- An interest in community development, housing, social impact, or the not-for-profit sector.
- An appreciation for working with people from diverse backgrounds, particularly Māori and Pasifika communities.
- A professional and empathetic approach when supporting clients and stakeholders
- Willingness to acquire an HPA Level 1 certificate.
