Description

We are looking for an organised, proactive, and community-minded Project Administrator to join our Housing Adequacy team based in Whangārei. This is a permanent part-time position working 30 hours per week (0.75 FTE).

As a Project Administrator, you will play a key role in supporting the delivery of Habitat for Humanity’s Healthy Homes Programme, Home Repair Programme, commercial contracts, and housing portfolio. This is a varied and rewarding role where you’ll coordinate referrals, appointments, maintenance activities, contractor administration, reporting, and stakeholder communications to help ensure families receive the support they need.

Working closely with internal teams, contractors, community partners, landlords, and whānau, you’ll help provide efficient administrative and operational support that contributes directly to improving housing outcomes across Northland.

Responsibilities:

  • Coordinate referrals from intake through to completion, ensuring all information is accurately recorded and maintained.
  • Manage appointments, team schedules, meetings, agendas, minutes, and follow-up actions.
  • Maintain accurate records within Salesforce, Wunderbuild, and other systems.
  • Gather and process documentation required for referrals and financial assessments.
  • Coordinate maintenance and repair requests across Habitat’s housing portfolio.
  • Prepare Healthy Homes Assessment reports and recommendation reports.
  • Liaise with homeowners, landlords, property managers, contractors, suppliers, and community partners.
  • Process invoices, purchase requests, and reimbursements accurately and efficiently.
  • Coordinate contractor onboarding, compliance documentation, and administration.
  • Support workshops, training sessions, meetings, and other programme activities.
  • Respond to enquiries professionally and provide exceptional customer service to all stakeholders.
  • Assist with reporting, data management, and programme administration.

We’re looking for a highly organised, detail-oriented individual who thrives in a fast-paced environment and enjoys working with a wide range of people.

Our ideal candidate will have:

  • Previous experience in an administrative, coordination, or project support role.
  • Strong Microsoft Office skills, particularly Word, Excel, and Outlook.
  • Experience using Salesforce, Wunderbuild, or similar CRM and project management systems.
  • Excellent written and verbal communication skills.
  • Strong organisational skills with the ability to manage competing priorities and meet deadlines.
  • Experience building positive working relationships with customers, contractors, suppliers, and community stakeholders.
  • The ability to work independently while knowing when to seek support or escalate issues.
  • Knowledge of the Residential Tenancies Act 1986 (preferred).
  • An HPA Level 1 Certificate, or willingness to obtain one.
  • The ability to engage respectfully with diverse communities, particularly Māori and Pasifika families and whānau.
  • A calm, patient, and solutions-focused approach.
  • A genuine commitment to Habitat’s mission and desire to make a positive impact in the community.
