About The Role

In this role, you’ll be at the heart of our Auckland office, creating an organised, professional and welcoming workplace that enables our people to do their best work. You’ll take ownership of the day-to-day running of the office, making sure our workspace operates smoothly while providing practical support to our Senior Leadership Team.

 

This is a broad, hands-on role where no two days will be the same. We’re looking for someone who naturally sees what needs doing, anticipates needs and solves problems before they arise. You’ll also have plenty of opportunity to improve the way we work, bringing fresh ideas and making smart use of digital tools and technology.

 

You can expect your day to day to look something like this:

  • Office Management: Ensure our office is professional, organised and welcoming, managing office supplies, maintenance and repairs, coordinating workstations and seating plans, supporting workplace Health & Safety, managing access cards and liaising with our landlord.
  • Senior Leadership Support: Manage calendars and communication, preparing reports and presentations, coordinating travel and providing general administrative support to our Senior Leadership Team.
  • Supplier & Cost Management: Manage key suppliers, contracts and workplace budgets with a focus on service, efficiency and value.
  • Events: Assist in the planning and delivery our company conference days, end-of-year celebration, quarterly team events and other management meetings, offsites, and social events.
  • General Administration: Manage phone accounts, attendance, and fleet requirements, organise couriers and travel, support external partners, and prepare ad hoc reports.
  • Continuous Improvement: Utilise Generate-approved AI and digital tools to enhance productivity and quality, identify opportunities to streamline processes.

 

About You

You’re an experienced office management or operational support professional who enjoys taking ownership and making things happen. Organised and proactive, you’re comfortable managing competing priorities, working with senior leaders and spotting what needs doing without waiting to be asked.

 

You’ll bring sound judgement, attention to detail and a professional, personable approach. You’re equally comfortable working independently or collaborating with others and take pride in delivering high-quality work.

In addition to the above you will also have:  

  • 3+ years of experience in office management or workplace coordination, executive support or a similarly broad operational role.
  • Proven experience working with and building strong relationships with senior roles within a business.
  • Excellent communication skills, both written and verbal.
  • Strong organisation, prioritisation and event/project coordination skills.
  • Commercial confidence when managing suppliers and expenditure.
  • Strong presentation skills, including the ability to create clear, concise, and visually appealing reports and presentations.
  • A proactive approach to problem solving and continuous improvement.
  • Confidence with digital tools and an openness to using approved AI tools to work more effectively.
