About the role

We’re looking for an organised and proactive Administrator / Sales & Services Administrator to join our Queenstown team.

This is a varied role that combines office administration responsibilities with sales administration support. You’ll be part of a collaborative administration team, helping ensure our branch operates efficiently while supporting our clients, engineers, Client Relationship Managers (CRMs), and Branch Managers.

No two days are the same. From processing invoices and coordinating stock to preparing sales proposals and maintaining CRM records, you’ll play an important role in supporting both our team and our clients.

Key responsibilities

  • Obtain supplier pricing and prepare client quotes.
  • Compile and process supplier and client invoices.
  • Coordinate monthly stock takes and maintain accurate stock records.
  • Manage hardware warranty administration and liaise with suppliers and manufacturers.
  • Answer phones, log service calls, and respond to client enquiries.
  • Build and maintain professional relationships with clients, suppliers, and team members.
  • Provide administrative support to the wider team.
  • Prepare and send sales proposals using PandaDoc.
  • Attach proposals to the relevant HubSpot opportunity.
  • Maintain accurate and up-to-date CRM records.
  • Support CRMs, Branch Managers, and Engineers with sales administration activities, primarily for Portfolio A and B clients.

  • Microsoft Office skills: Proficient in Outlook, Word, and Excel. SharePoint experience would be an advantage.
  • Full NZ driver’s license: You hold a current, clean, full New Zealand driver’s license.
  • Work eligibility: You have the right to live and work in New Zealand
