Summary/Objective

We are looking for a proactive and detail-oriented Office Administrator to join our team. The successful candidate will be responsible for assisting with all general administrative tasks, focusing on office management and supporting the HR team as required in areas such as onboarding, CSR and social activities. This role requires someone with a positive and team-oriented mindset, flexible working style, excellent organizational skills, strong attention to detail, and the ability to handle confidential information with discretion. The ideal candidate will be responsible for ensuring efficient administrative operations to support our growth and enhance employee engagement.

Key Responsibilities:

  • Handle all general office administrative duties to ensure smooth daily operations, such as document control system, managing office facilities, ordering supplies, coordinating visitors and courier services, etc.
  • Provide administrative support to the wider team as needed.
  • Maintain office records and ensure compliance with all relevant regulations.
  • Liaise with suppliers/vendors and process invoices and payments, etc. as required.
  • Coordinate new employee onboarding process by preparing paperwork, scheduling training sessions, and setting up workspaces.
  • Support different company initiatives related to employee engagement such as organizing team bonding and CSR activities.
  • Undertake all ad-hoc administrative tasks or projects assigned by management.

Requirements:

  • 5+ years of working experience in a similar role
  • Knowledge of document control systems such as Aconex, Procore a benefit but not essential as training will be given
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office suite (Word, Excel, PowerPoint)
  • Ability to manage multiple priorities and work in a fast-paced environment.
  • Proactive and results-driven with a keen eye for detail.
  • Strong problem-solving skills and the ability to think independently.
  • Positive, collaborative and helpful mindset and working attitude.
