We are seeking a highly organized and proactive individual to join our team as a Personal
Assistant. As a Personal Assistant, you will provide comprehensive administrative support to
executives or high-level professionals, ensuring their schedules run smoothly and their daily
tasks are effectively managed. The ideal candidate will have exceptional organizational skills,
strong attention to detail, and excellent communication abilities.
Responsibilities:
1. Calendar and Schedule Management:
• Manage and maintain the executives’ calendars, scheduling appointments,
meetings, and events.
• Coordinate travel arrangements, including flights, accommodations, and
transportation.
• Anticipate and prioritize scheduling conflicts, ensuring efficient time
management.
2. Administrative Support:
• Prepare and edit correspondence, reports, presentations, and other documents
as needed.
• Screen and prioritize phone calls, emails, and other forms of communication,
handling inquiries and providing timely responses.
• Maintain an organized filing system for both physical and electronic
documents.
• Handle confidential and sensitive information with utmost discretion.
3. Meeting Coordination and Support:
• Arrange and coordinate meetings, conferences, and business events.
• Prepare meeting agendas, materials, and presentations.
• Attend meetings, take detailed notes, and distribute meeting minutes.
• Follow up on action items and ensure timely completion.
4. Communication and Liaison:
• Act as a point of contact and maintain effective communication between
executives and internal/external stakeholders.
• Draft, proofread, and edit various written communications on behalf of the
executives.
• Coordinate and facilitate effective communication within the team and across
departments.
5. Research and Information Management:
• Conduct research, gather data, and compile reports to support decision-making
processes.
• Stay updated on industry trends, market developments, and relevant news.
• Prepare briefing documents and summaries for the executives.
6. Project Support:
• Assist in planning and organizing special projects or company events.
• Collaborate with cross-functional teams and provide administrative support as
needed.
• Track project milestones and deadlines.
Requirements:
• Proven experience as a personal assistant, executive assistant, or in a similar role.
• Excellent organizational and time management skills.
• Strong written and verbal communication abilities.
• Proficiency in using productivity tools such as Microsoft Office Suite or G Suite.
• Ability to handle confidential information with discretion.
• Strong attention to detail and accuracy.
• Ability to multitask and prioritize tasks effectively.
• Professional and friendly demeanor.
• Bachelor’s degree in business administration or a related field (preferred).
