Auckland Whale and Dolphin Safari (AWADS) is part of the Entrada Travel Group who are a leading tourism and travel operator with an extensive collection of high-quality experiences across New Zealand and Australia. About the role
We are seeking a versatile administration professional for a Permanent Part-time position with AWADS. Someone to help facilitate and support the smooth running of our operations through the provision of supplies to vessels and workplaces and administrative support to the Marine Business Delivery Manager. This position also acts as a relief crew member on the boat when needed.
You will be working closely within a tight-knit team where you will be responsible for the following key tasks:
- Preparing applications and maintaining compliance documentation with/for Maritime bodies and local council
- Maintaining certification records for vessel and staff in internal compliance systems
- Co-ordinating with suppliers via phone and email
- Assisting with running reports from compliance and reservations systems
- Assisting with Payroll processing, checking timesheets, leave forms and preparing spreadsheets
- Providing administration support and co-ordination during recruitment processes, staff onboarding and induction
- Providing Health & Safety administration, reporting, and system support
- Providing operational support by driving around Auckland to collect supplies for vessel operations, making deliveries to the Viaduct Marina, transporting deposits to the bank.
- Working as relief crew on the vessel as operationally required, to deliver our tourism experience to customers. Providing customer service, café service, cash handling and maintaining familiarity with safety procedures.
About you
The successful applicant will be highly organised, super-efficient, flexible and adaptable with a willingness to learn a variety of tasks. You must be able to demonstrate computer literacy, attention to detail, an ability to follow instructions and have a pro-active approach. We are looking for a hard-worker who can work independently but can also collaborate and work well with others.
To be successful in this role you will need:
- A full NZ unrestricted Driver’s Licence
- Experience in operational/ tourism administration (in a support/co-ordination or similar role).
- Intermediate or advanced in use of Microsoft Office (in particular Outlook, Word and basic Excel) and Microsoft Teams
- Exceptional communication skills, written and verbal
- A high level of professionalism, integrity and the ability to maintain confidentiality
It would be advantageous if you also had:
- Familiarity/knowledge of some HR & H&S administration activities
- Experience in procurement/providoring
- Experience or familiarity in the Maritime industry
This is a part time position of approximately 24 hours a week with the possibility of additional shifts during high season. Days of work are open for discussion, but we operate 7 days a week, year-round so occasional weekend work is required. You will also need to be available over the busy Christmas, New Year & holiday periods.
