1:1 Mid-Year Performance Check-In Template

Regular two-way feedback is essential. Even if you already have weekly 1:1s in place, those sessions tend to focus on current projects and roadblocks, rather than an overarching retrospective review of the past six months.

We’ve created this template to help guide you through a mid-year review with your direct report. Acknowledging their hard work and applauding any commendable results that came about gives them the motivation and confidence to achieve more in the future months ahead.

The goal here is to take a step back and reflect together on what went well, identify any particular difficulties or roadblocks encountered, aspects or processes that can be improved on, and create an action plan for working on those weaknesses moving forward.

What can 1:1 mid-year performance check-ins do to help my organisation?

While performance reviews are not mandatory in Malaysia, they are a great way to calibrate expectations between managers and employees. Add some structure to the mix like scheduling them to target a specific time period or using a template to cover all your bases, and you have a handy, standardised evaluation tool at your fingertips.

As with all workflow tools, use performance reviews mindfully – if you already have frequent check-ins and syncs, adding yet another meeting and evaluation to the list will put unnecessary stress on your employees and take away time that could be used elsewhere.

Quarterly performance reviews are recommended to enable more frequent feedback and discussion and give more opportunities for timely recognition of wins and high performance.

How do I prepare for a 1:1 mid-year performance check-in?

Make it easier on employees and managers alike by managing expectations ahead of time. Here are some pointers on how to set up your mid-year performance check-ins for success:

  • Notify employees about performance reviews in advance so they have time to prepare
  • Have a specific goal – nobody likes sitting in aimless meetings!
  • Prepare a meeting agenda so everyone can be on the same page
  • Emphasise the positives and provide constructive feedback
  • Honesty is the best policy – keeping direct and open lines of communication helps you and your employees address setbacks more effectively
  • Maintain a collaborative mindset: your employees should know that you care about their questions, feedback and concerns

When done right, performance reviews are a useful resource in your employee evaluation process. These reviews provide valuable feedback that helps employees understand their strengths, areas for improvement and opportunities for growth. They also help managers track employee performance and better look after their direct reports.
