About POSH
Founded by Sereen Eng, POSH Nail Spa had humble beginnings as a small two-seater nail salon with only one employee back in 2010. The POSH team has since grown steadily to bring happiness to more customers, expanding to 20 employees and five branches across Kuala Lumpur and Petaling Jaya.
As a one stop shop for everything beauty, POSH provides professional manicure and pedicure treatments, nail art and enhancements, makeup and hairdo services, as well as waxing and eyelash extension services. That’s not all – they also specialise in pampering parties for any occasion, nail art workshops and corporate grooming initiatives meant to help customers discover beauty anywhere and everywhere.
With so much going on, POSH was evolving fast. The team knew it was time to improve company processes to support their growth and transform their manual HR and payroll processes. That’s where Employment Hero came in. We spoke with Susanna Ng, the Executive Administrator about POSH’s experience with Employment Hero and how it has supported them thus far.
The challenge
As a growing company with a lean team, POSH needed intuitive HR and payroll processes to support it, so the team could focus on their day-to-day operations. They also needed an all-in-one system that was streamlined and consolidated digitally – once they grew from one to five outlets, the amount of work involved in their manual processes was unsustainable and sometimes led to mistakes or missing information.
Due to the nature of their work, managing POSH’s employee shift scheduling was important to make sure the right staff was working at the right time. The team wanted a good employee attendance system that would help them ensure that staff who were on shift that day would report to work according to schedule.
POSH’s Executive Administrator, Susanna, was the only administrator covering a wide job scope from rostering to operations, coordination of schedules, customer service and more. Since her background was in accounting and not HR, it was essential for her to get any help she could get, to ensure that POSH’s day-to-day operations were running smoothly.
Solutions
Simplified employee shift management
POSH handled employee rostering much more easily with Employment Hero’s time and attendance software – using the clock in and clock out function ensured staff reported to work on time. The intuitive tracking and reporting features also made it much easier to track when staff would enter and leave, as well as which staff were on shift, and which days they were on shift.
By requiring POSH employees to use the camera function for attendance, the system subtly reinforced the importance of grooming and professional appearance. This approach contributed to elevating POSH’s brand image as a leading beauty service provider.
Employment Hero’s employee rostering features also made it easy for managers to allocate staff. Having a full view of the rosters across outlets helped identify which outlets might be short-staffed on a particular day, and managers could adjust schedules accordingly to ensure that each outlet had enough staff on shift for its day-to-day operations.
Streamlined and automated processes
POSH used to distribute payslips by building them in Google Sheets, taking a screenshot, checking the information and sending them to employees one by one. This was a cumbersome and time-consuming process, but they couldn’t share these data sheets with staff due to privacy issues.
Leave management was particularly difficult – the manual processes meant that team leaders and staff sometimes missed the recording of leave days altogether, making resource management challenging.
Now that POSH is using Employment Hero’s HR management tools and automated payroll platform for record-keeping and paperwork, they can easily track leave days and create accurate and compliant payslips without worrying about breaching confidentiality.
As Susanna aptly muses, “With Employment Hero, payslips are now created with just a press of a button.”
Better employee management
Employment Hero’s mobile app, Swag, enables everyone at POSH to use self-service features for their HR needs. While there was a learning curve in adopting a new system, POSH staff quickly saw the benefits of being able to self-service information they needed, such as applying for leave, accessing their payslips and updating their personal information.
With greater transparency across the business, employees were also more aware of the full suite of benefits available to them – being able to quickly access all these benefits on top of their employment information definitely boosted their employee experience.
Employees that wanted to take leave could see who else would be on leave at the same time and plan accordingly without needing to involve HR. Meanwhile, HR could also save time by doing away with the monthly one-on-one sit downs where they would share payslips with their staff, since employee payslips would be automatically calculated and distributed through the system.
Better onboarding
Before Employment Hero, POSH’s onboarding process for new hires was done manually – processes weren’t documented well and there wasn’t a central spot where all information needed would be stored. However, having a standardised onboarding process and a central source of truth housed on an all-in-one platform has transformed that process for the team.
