The Role:
As the Operations Scheduling Coordinator for the Auckland region, you will be the key position in making sure all aspects of regular works are planned and scheduled, ensuring the smooth, safe, efficient, delivery of services.
Working closely with the Branch Lead, Operations Lead and the Client Care Manager, this is a great role for someone with strong communication skills and a desire to make the role their own.
Your focus areas
Operations Support: Dedicated & Resourceful
- Review a job scope and turn it into planning and scheduling tasks, which are then communicated and provided as instructions for the Operations team.
- Translate and communicate operational, client and employee requirements. This means asking tough questions, giving firm direction, and listening to understand.
- All administration related to the job scope and scheduling i.e. ensuring assigned technicians have required competencies and training, PPE, site permits, HSE documentation, travel needs etc.
- Monitor and process regular updates on each job so that the Operations team can respond quickly to potential planning and scheduling changes.
- Lead invoice, reporting, and job close-out process including resolving any invoice discrepancies.

- Work with the Branch Lead, Operations Lead and Health, Safety and Environment team to role model Goleman’s Safety-First culture and support initiatives that promote awareness, competency, continual improvement initiatives, and compliance with Health, Safety and Environment legislation, policies, and procedures.
- Enjoy a close relationship with our Operations Lead, Branch Manager and Client Care team to ensure smooth service delivery, support tailored solutions and address client queries and concerns.
- Train, mentor and coach the team to improve their organisation / reporting skills and ability to solve problems.
What you’ll bring:
- Previous experience in operations / administration management / customer service.
- Experience coordinating, coaching, and guiding others to deliver quality outcomes and develop their capability.
- Digitally savvy, experience and confidence with administration management software (e.g MS Office suite) and CRM/REP software (e.g. salesforce, Zoho, JGID)
- Personal resilience, confidence and a strong desire to work along-side others to bring calm and resourcefulness to a busy operational environment.
- Accountability and ownership in identifying, addressing, and resolving challenges, proactively seeking solutions and driving continuous improvement.
- Strong time management skills and ability to prioritise tasks and meet client requirements by optimizing communication and scheduling efficiencies.
