The Gig

The Sales & Events Coordinator keeps the Commercial team running like a well-tuned record player. You’ll be the first point of contact for event enquiries, craft proposals and contracts, support the team with reporting and admin, and help bring memorable events to life. A natural organiser with a knack for detail and warm hospitality, you’ll bridge the gap between our clients and our internal teams to deliver smooth, stress-free experiences from first chat to final bill.

What You’ll Do

Events Support

  • Work closely with internal teams to ensure events run smoothly from planning to pack-down.
  • Maintain accurate CRM records, client notes, and event details in Delphi following brand standards.
  • Assist in preparing BEOs (event orders) and capturing event specifics with clarity.
  • Host site inspections and warmly welcome walk-in enquiries when required.
  • Update client documents and event resources to reflect current standards and offerings.
  • Assist with coordinating venue bookings for event requests.
  • Contribute to the ongoing improvement of sales and events processes, SOPs, and templates.
  • Support event billing, reconciliation, and accurate revenue processing.
  • Stay well-versed in hotel services, spaces, and experiences to confidently and authentically share with clients.

Sales Support

  • Set the stage for standout site inspections and client meetings, ensuring everything is prepped, polished, and on-brand.
  • Create accurate proposals and contracts in Delphi, capturing every detail with precision.
  • Complete daily, weekly, and monthly reporting to keep the team in the loop and on track.
  • Manage the sales inbox — respond, allocate, and follow up to keep momentum moving.
  • Assist with group and event proposals, supporting the Sales team with data entry and coordination.
  • Research prospective clients and opportunities to support lead generation and new business outreach.
  • Coordinate VIP bookings and amenities, including thoughtful welcome notes and personalised touches.
  • Raise and track purchase orders for sales expenses.
  • Maintain bid and production trackers, ensuring accurate updates and timely information sharing.
  • Support the Sales Team with travel arrangements, communication needs, and general project support.

  • Experienced in sales or events or holds a Diploma or Degree in Hotel Management or Tourism (desirable)
