Practice Manager – Interface Technology Orthotics and Prosthetics

Interface Technology Orthotics and Prosthetics are trusted providers of high quality, accessible orthotic and prosthetic services in Western Australia.

We are currently seeking the right person to fill a permanent, full-time position as the Practice Manager at our clinic In West Perth.

The Role:

We are seeking a Full-Time Practice Manager to work with our current administrative, clinical and technical team.

Duties:

• Oversee the general administrative side of running the clinic

• Manage payment of invoices in accordance to priority and cashflow

• Monitor cashflow and advise Directors accordingly in regards to decision making.

• Work closely with our book keeper to facilitate correct payrun processing on a fortnightly basis

• Arrange clinic scheduling as appropriate for quarterly caseload and clinicians

• Assist in recruitment, staff onboarding, training etc in conjunction with the Managing Director

• Ensuring funding has been secured prior to device provision (NDIS, Compensable, DVA)

• Creating invoices & processing payments (cash/eftpos/NDIS portal/private health/DVA)

• Assisting arrangement of off-site and regional clinics

• Ensuring appropriate sorting of referrals and client documentation

• Overseeing procurement and stock management

• Mentor junior administration team members

• Keeping all pricing up to date in quoting templates and Cliniko (practice management software)

• Ensure that the clinic meets all necessary NDIS Quality and Safeguards requirements including keeping oversite of the necessary certification updates etc required. This role will include facilitating the re-registration processes and necessary audits.

This role will also require fulfilling other general receptionist and administration tasks such as:

• Meeting and greeting clients,

• Scheduling appointments for clients using Cliniko

• Answering incoming phone calls,

• Facilitating correspondence via email

• Preparing quotes

• Ensuring that there are up to date records for all communication with clients.

• General cleaning and tidying throughout the week to keep the clinic presentable.

• Work alongside other team members to facilitate smooth running of clinic

The clinic is open 8am – 5.30pm Monday to Friday.

We are looking for someone who has the built-in capabilities to oversee the administrative running of a busy allied health clinic. Being trustworthy is essential and having a personality which will be a part of a positive workplace culture is vital. We have a really lovely team of people and we are looking to add the right personality to the mix.

Prior experience is desired. Previous experience in an allied health or medical administrative role setting along with experience in use of the NDIS portal would be advantageous. Excellent time management, communication, and organisational skills are a must.

You need to be confident and capable with technology and a variety of software platforms with the adaptability to learn new skills and methods.
