Another month, another update from the product team at Employment Hero! Scroll down for a very popular feature enhancement regarding negative leave balances, as well as the ability to request leave using days and weeks instead of hours (Employment Hero Payroll and KeyPay only) and an update to Xero’s payslips.
Leave Requests and Negative Balances in Open Beta
Employment Hero has developed a new feature to give admin and account owners greater control over employee leave requests. Currently, employees are able to request leave even if their request takes them into a negative balance.
From next week, admins and owners will be able to add a new setting at an organisation level to prevent any leave requests from being submitted if it will reduce the employee’s leave balance to less than zero. If the admin or owner wants to approve the leave anyway, they will also have access to submit leave on behalf of employees.
To enable this feature, sign in to Employment Hero as an admin, then:
- Click on General Settings
- Select Company Settings
- Select Employment Settings tab
- Disable negative leave balance (default will be enabled – you can switch back to this at any time)

Leave Requests in Days and Weeks in Open Beta (Employment Hero Payroll and KeyPay Only)
From next week, customers will be able to add leave categories from Payroll that use a Days/Weeks balance instead of hours. After these new leave categories have been created, employees will be able to submit leave requests using days or weeks, instead of hours.
To enable this, payroll admins will need to first create new leave categories in Payroll (or KeyPay) with the Standard Days Per Week or Standard Weeks Per Year options, then set it up within leave allowance templates as per required.
When this has been done, Employment Hero admins or owners can enable this in the HR portal. Sign in to Employment Hero, then:
- Click on General Settings
- Click on Add-Ons
- Select Actions
- Click on Update
- Locate Pay Items and click Update from Payroll
The leave categories will now import and employees can use this setting when submitting leave requests. This feature is in open beta and subject to changes pending feedback from our users. Update to Payslips Imported from Xero (Xero Only)
Payslips imported from Xero will now include a breakdown of tax contributions. That’s it. That’s the update!
